Description:
The Talent Acquisition Operations Specialist is responsible for ensuring recruiting runs efficiently, accurately, and consistently day to day. This role removes operational and administrative burden from recruiters and Talent Acquisition leadership so the team can focus on sourcing, relationship building, and hiring.
This is a hands-on, execution-focused role that owns how recruiting actually functions — including systems, workflows, reporting, data integrity, and operational coordination. The role also owns recruiting-related social media and digital outreach efforts as part of a broader talent attraction strategy.
Just as important, this role is designed to streamline daily recruiting operations, improve visibility, and build trust and consistency across the team. Over time, it is expected to take on increased responsibility for managing daily Talent Acquisition execution, creating a natural progression into a Manager of Talent Acquisition Operations role.
Responsibilities:
- Own the ATS and CRM from a usability and effectiveness standpoint, ensuring clean workflows, accurate statuses, required fields, and consistent usage across the team.
- Ensure every requisition, candidate, and hire is properly tracked, eliminating gaps, duplicate records, and inconsistent data.
- Serve as the point person for intake-to-offer workflow execution, ensuring requisitions move cleanly and consistently through each stage.
- Create and manage real-time dashboards and reports showing recruiter workload, candidate flow, open roles, time-to-fill, and overall pipeline health.
- Eliminate redundant reporting and administrative tasks through centralization, standardization, and automation where possible.
- Own and manage company social media content related to recruiting, including job promotion, employer branding, and talent-focused messaging.
- Coordinate with HR and Operations to ensure smooth handoff from offer acceptance to onboarding, minimizing delays or dropped candidates.
- Partner closely with the Director of Talent Acquisition to identify bottlenecks, improve workflows, and implement practical system-based solutions.
- Support adoption of new tools, processes, and reporting, reinforcing best practices and consistency across the recruiting team.
- Ensure recruiting data is reliable, accurate, and consistent across Triage, Benton, JCS, and future acquisitions.
- Support recruiting leadership with data, insights, and operational execution that enable better decision-making.
Qualifications:
- Experience in recruiting operations, talent acquisition, HR operations, or a related function.
- Strong working knowledge of ATS and CRM systems preferably Jobvite/Evolve and end-to-end recruiting workflows.
- Telecom or Construction industry experience is a plus
- Experience driving operational efficiency, reporting, or process improvement initiatives.
- Familiarity with social media or digital recruiting channels used to support hiring.
- Highly organized, detail-oriented, and comfortable managing multiple priorities.
- Strong analytical skills with the ability to build and interpret reports and dashboards.
- Ability to build trust and credibility with recruiters through consistency and follow-through.
- Comfortable partnering with leadership to improve processes and solve operational problems.
