Administrative Assistant II

 

The Administrative Assistant reports to the Project Administrator and will assist with clerical/ office related tasks, customer service follow-up and other duties as assigned by the Project Administrator.

 

Job Specifications:

  • Ensure all required city and location reporting is complete and on-time.
  • Reconciles passenger fares and completes appropriate reporting for the cities/ invoicing process.
  • Reconciles Operator trip sheets for to ensure complete and accurate documentation/ billing.
  • Assists the Manager of Service Management with completion of the weekly customer comment report.
  • Greet visitors to the facility offices or by phone .
  • Reconciles payroll data entry and monitors employee punch in’s/ punch outs.
  • Reconciles employee attendance tracking.
  • Plan meetings and take detailed notes.
  • Develop and maintain a filing system.
  • Manage other duties to support the operation such as ordering office supplies, cleaning supplies, etc..
  • Other duties as assigned or as required.

 

Related Experience:

  • The Ideal candidate will have a minimum (1) years’ experience in a fast paced office setting, understands Microsoft applications (i.e. Excel, Word, PowerPoint, Outlook).

Knowledge of:

  • Microsoft Office 365.
  • Service marketing.
  • Customer service.
  • Timekeeping systems such as ADP E-Time.

  • Demonstrate analytical skill and high level of discretion and judgement to support and inform decision making processes.
