Description

The Executive Assistant is responsible for providing comprehensive support to the Chief Operating Officer/Chief Financial Officer and Chief Human Resources Officer/Chief Legal Officer. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

*Hybrid Work Schedule - Primarily work from home with an occasion in the office. 

What You'll Do:

  • Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts; Utilize Independent thinking and make recommendations to ensure smooth day-to-day operations.
  • Complete a broad variety of administrative tasks that facilitate the Executives' ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Headcount Planning & Organizational Structures: this includes managing organizational charts, headcount requests, salary planning related to new headcount requests, work with finance on headcount salary planning as needed.
  • Act as a liaison and provide support to the Company Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; organize, help develop, compile, and distribute presentation materials. Adhere to compliance with applicable rules and regulations regarding Board matters. 
  • Serve as the contact for matters pertaining to the Executives including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response.
  • Work closely with Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate Executives' needs in advance of meetings, conferences, etc.
  • Plan, set up and coordinate a meetings and assist with staff meetings and events as needed.
  • Manage and maintain independent projects as assigned.
  • Department Budgets: develop and maintain department budgets for assigned teams, specifically this will include HR and Customer Service and possibly others.
What You'll Need:

  • 10 years Executive Assistant experience, including supporting C-level roles.
  • Minimum 5-7 years of paralegal or equivalent experience in a large law firm or company preferred.
  • Bachelor’s Degree Preferred
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design, create and edit graphic presentations and materials.
  • Ability to independently perform a variety of paralegal duties with limited supervision and has a solid understanding of complex legal issues.
  • Consistently demonstrates superior judgment.
  • Excellent written and oral communication skills, project management skills, organizational skills, and attention to detail.
  • Working knowledge of Word, Excel and Equity Edge.
  • Demonstrates a dedication to meeting requirements of internal and external customers, responding to all customer requests promptly and thoroughly.
  • Strong communication skills including ability to work in a team environment, give honest, direct feedback and is a solid verbal and written communicator.
  • Meets deadlines, prioritizes appropriately, copes well with change, and maintains composure under pressure.
  • is accountable for results, approaches obstacles proactively and looks for ways to resolve problems and issues.
