The Scheduling Rep is responsible for scheduling elective procedures in the future and scheduling urgent/emergent procedures for the same day. The Scheduling Rep may be located in the scheduling office or at the front desk in the operating room. The Scheduling Rep provides service to patients, physician office staff and all members of the hospital health care team. When scheduled at the Operating Room front desk, assists the lead in managing communication and patient flow. When working from the scheduling office, the scheduler works with physician office staff to coordinate surgery times and to organize the schedule to optimize room utilization and coordination of services.

- Collects all required data elements to complete the intake process for scheduling within the revenue cycle system per established guidelines which includes but is not limited to ensuring information for special requests is appropriately documented and that any conflict resolution is completed prior to confirming a case time, demographic information, authorizations, and current insurance.

- Schedules appointments in Cerner following department guidelines and protocols. Confirms the surgeon is appropriately credentialed and not on suspension prior to scheduling any procedures.

- Ensures appropriate time is allowed for the procedure based on Cerner history as well as input from the surgeon and Lead.

- Contacts the Primary Lead/designee to clarify questions whenever there are time, equipment or staffing concerns. Concerns will be escalated to the manager, if needed.

- Collects all case add-on information and with the Primary Lead and Anesthesia Lead coordinates case times and room assignments, upon arrival to the department as the first shift scheduler.

- Communicates any changes in the schedule of the day immediately to the Primary Lead and Anesthesia Coordinator as indicated.

- Collects all information regarding patient locations, condition and transportation requirements and communicates any concerns to the primary lead, when scheduling same day add-in surgery. Coordinates with the Primary Lead and the Anesthesia Coordinator of the day prior to confirming time with the surgeon.

- Reviews with the Lead, the next day schedule and initiates room assignments/changes needed to support patient flow.

- Confirms the surgery schedule with physician offices, participates in daily huddle and provides additional information to OR Leads and staff as indicated.

- Finalizes the daily schedule, inputs anesthesia assignments and ensures distribution to all parties is completed correctly.

- Ensures the House Supervisor is apprised, notified of cases in progress, cases pending and any add-ons to the schedule for the next day prior to reporting off duty, when working weekends.

- Assists in the training and orientation of new personnel as required.
