Under the general direction of the Emergency Department Clinical Director, the Department Secretary provides comprehensive clerical support to ensure the efficient operation of the department. This role is integral to maintaining high standards of patient care by facilitating smooth administrative workflows, safeguarding confidential information, and supporting timely execution of operational priorities. The Department Secretary collaborates closely with clinical and managerial staff, medical directors, and physicians, offering reliable administrative assistance in a fast-paced and dynamic healthcare environment.

Core Competencies

  • Serves as a liaison for the Torrance Emergency Physicians (TEP) and other departments that interact with the Emergency Department

  • Maintains files and record keeping system in a manner that allows easy retrieval of information

  • Completes reports, letters, memos and other documents in an accurate and easy to read format

  • Proofreads work for accuracy prior to distributing or copying

  • Sorts, screens and distributes mail for Emergency Department physicians, Clinical Director, Managers, Paramedic base station and staff as needed

  • Responds to inquiries and correspondence as necessary e.g. legal, insurance, medical records, preparation for invoices to be signed and anything related to the Emergency Department

  • Assists, plans, and coordinates events sponsored by the Emergency Department

  • Orders, organize and maintains office supplies for the Emergency Department

  • Collaborate and work with Emergency Department Management Team to ensure smooth operations

  • Collaborate, assist, and work together with the Nursing Operations Assistant

  • Collaborate, assist and work together with Unit Secretaries
