About the role:
 
We are looking for an Office manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
 
What you will get to do:
  • Organize local office operations and procedures, in line with the corporate guides
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Define and deploy the occupational health and safety procedures on site and interface with the corresponding institutions (i.e. fire department, labor office)
  • Coordinate local tax and labor audits working in conjunction with the corresponding TiVo responsible and external partners
  • Maintain the office condition and arrange necessary repairs
  • Oversee and approve Travel & Entertainment arrangements
  • Manage office G&A budget, ensure accurate and timely reporting
  • Monitor the status and coordinate the procurement of office stationary, supplies, PCs and test equipment
  • Partner with HR to update and maintain office policies as necessary
  • Assist in the onboarding process for new hires and monitor the off boarding
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Interface with local the city administration for any need or development plan for the office
  • Organize the office layout
  • Serve as the point person for office duties including (maintenance, mailing, supplies, equipment, bills, errands, shopping)
  • Liaise with facility management vendors, including cleaning, catering and security services
Who we are looking for:
Requirements:
  • Proven experience as an Office manager, Front office manager or Administrative assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Fluent English and Polish
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • Bachelor degree, preferably in Finance, Law, Administration or Management
