As a Construction Services Administrator (CSA) at Thompson Thrift, you’ll provide essential administrative and clerical support to our Construction leadership and project teams throughout the lifecycle of multifamily construction projects — from project setup through closeout.

Your Role as a Construction Services Administrator

As a Construction Services Administrator, you will support the VP of Construction, Project Executives, Project Managers, Office Project Engineers, and other construction team members by managing project documentation, correspondence, vendor and subcontractor tracking, contract administration support, and project closeout processes.

 

You’ll help maintain strong project controls and administrative consistency across active construction sites and office-based project operations — ensuring teams have the information, documents, and organized systems needed to deliver high-quality communities.

 

Key Responsibilities

  • Review Project Manager / Project Engineer correspondence; draft and finalize documents for signature, distribution, and filing
  • Create and organize electronic project files for new multifamily construction projects; maintain ongoing document control throughout the project
  • Support subcontract and purchase order issuance; help track timely contract execution and returns
  • Update and maintain the Vendor Tracker spreadsheet and related project logs
  • Collect, review, and route subcontractor Certificates of Insurance to the appropriate internal partners (including Insurance & Risk) or myCOI
  • Assist with obtaining and printing project documents and drawings for internal distribution
  • Prepare and manage the Subcontractor Quarterly Evaluation process
  • Monitor, review, distribute, and archive daily Manpower reports and related communications
  • Prepare Operations & Maintenance (O&M) Manuals and other project closeout documentation
  • Support project closeout activities, including archiving checklists and closeout coordination
  • Finalize O&M manuals and prepare final deliverables (including electronic copies for project records)
  • Create and coordinate closeout meetings; monitor attendance and follow-ups
  • Monitor subcontractor and supplier report cards and issue final summaries
  • Provide additional administrative support to the construction team as needed

 

Our Ideal Candidate for this Role

Experience

  • Experience supporting construction project teams, construction administration, or project coordination (multifamily construction experience a plus)
  • Familiarity with project documentation, contract tracking, vendor/subcontractor coordination, and construction closeout processes
  • Experience with construction software platforms (e.g., myCOI, Procore)

Skills & Attributes

  • Highly organized with strong attention to detail and follow-through
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and deadlines across several active projects
  • Proficiency with Microsoft Office (Outlook, Excel, Word); comfort working in shared file systems and construction document workflows
  • Professional judgment and discretion when handling confidential project and business information

  • Understanding of subcontractor compliance requirements (insurance certificates, documentation, evaluations)
