POSITION SUMMARY

The Project Manager role (PM) for the Royal Ottawa Health Care Group (ROHCG) Epic Implementation is responsible for supporting the organization’s transition from the current Meditech electronic health record system to Epic, a major component of our digital transformation strategy. This change represents a significant shift in clinical workflows, operational processes, and user experience.
 
RESPONSIBILITIES:
  • Develop, lead and manage the delivery of a fully electronic medical record project ensuring that the transition from Meditech does not have an adverse impact on patient care and quality.
  • Develop comprehensive project plans, charters, risk registers, and other project management tools as required.
  • Track timelines, resource allocation, and performance indicators to ensure effective project execution.
  • Work closely with relevant stakeholders with effectiveness and efficiency to enable the EMR to be implemented on time and within budget. Work with the leadership to manage budgets at a project / module level.
  • Collaborate with clinical and administrative leaders to align project objectives with strategic priorities and patient safety goals.
  • Develop sustainability plans and handover documentation to ensure long-term success and integration into daily operations.
  • Use project management and collaboration tools to track progress, manage resources, and generate insights for decision-making.
  • Support leaders and stakeholders on key Epic initiatives that require cross-program collaboration, change management, and alignment with hospital-wide strategic goals.
  • Track timelines, milestones, dependencies, and resource allocation to ensure successful execution of Epic-related workstreams.
  • Produce written material and budgetary reports including benefits realization in conjunction with EMR Governance leads and support.
  • Prepare, monitor, and manage project budgets, ensuring responsible allocation of financial resources.
  • Conduct variance analysis and financial forecasting to inform leadership of potential budget risks or efficiencies.
  • Identify and secure necessary staffing, tools, and infrastructure to support project delivery, collaborating with procurement and HR where necessary.
  • Lead interdisciplinary project teams by fostering inclusive environments grounded in mutual respect, shared purpose, and psychological safety.
  • Act as the main point of contact between executive leaders and team members, resolving conflicts, removing obstacles, and ensuring accountability.
  • Foster a culture of collaboration, innovation, and excellence in execution.
  • Build and sustain relationships across departments, professions, patients, and hierarchies to align stakeholders toward common goals.
  • Facilitate stakeholder alignment meetings and engage decision-makers to ensure shared understanding of project goals and roles.
  • Manage expectations, address concerns proactively, and ensure that change initiatives are understood and supported across the organization.
  • Model teamwork, adaptability, and empathy in all interactions.
  • Ensure all project activities meet or exceed local, national, regulatory requirements and hospital policies (included but not limited to Accreditation Canada, Ontario Health, Health Canada, HIROC, Ministry of Health, and internal policies).
  • Incorporate evidence-based practices and data-driven methodologies to improve project outcomes and patient care quality.
  • Identify and mitigate patient safety and compliance risks early through proactive project design, stakeholder engagement, and impact assessment.
  • Conduct proactive risk assessments and post-implementation reviews to drive continuous improvement, knowledge transfer, and risk management.
  • Develop and maintain risk registers, mitigation plans, and contingency strategies.
  • Develop and disseminate comprehensive project reports, dashboards, and presentations for senior management, boards, and clinical committees.
  • Prepare high-level briefings, synthesize regulatory and operational information, and coordinate responses to internal and external performance reviews or audits.
  • Maintain strict confidentiality and exercise sound judgment in politically complex or ambiguous situations.
  • Schedule and lead regular project meetings to update stakeholders on progress, barriers, and next steps.
  • Maintain thorough documentation of all phases of the project, including decisions, approvals, and changes to scope.
  • Demonstrated ability to lead and manage high-impact, cross-functional projects in complex healthcare settings
  • Exceptional interpersonal and communication skills, with the ability to convey complex information clearly, effectively while fostering trust and building consensus. Skilled in engaging a wide range of stakeholders, including clinical leaders, executives, frontline staff, and external partners.
  • Strong ability to analyze data, interpret trends, and use evidence-based approaches to identify challenges and develop innovative, practical solutions that improve outcomes and add organizational value.
  • Proven ability to navigate ambiguity and manage competing stakeholder needs with discretion, diplomacy, and integrity.
  • Expertise in facilitating change across healthcare settings, including training, communication, and support strategies to promote adoption and sustainability of new initiatives or technologies.
  • In-depth understanding of healthcare accreditation standards, regulatory frameworks, risk management, and system-level change strategies methodologies.
  • Advanced proficiency in project management tools and software such as Microsoft Project, or equivalent platforms to develop project plans, track milestones, allocate resources, and generate reports.
QUALIFICATIONS:
  • Bachelor’s degree in healthcare administration, Nursing, Quality Management, Business, Engineering or a related field.
  • Master’s degree in health administration (MHA), Healthcare Quality (MSc HQ), Public Health, Nursing, or Business Administration (MBA with healthcare focus) or another health-related profession is preferred. 
  • Minimum 3–5 years of experience managing healthcare or quality improvement projects in a healthcare setting. 
  • Certification in Project Management (PMP, PRINCE2) or equivalent  
  • Knowledge of accreditation standards and regulatory requirements in healthcare (e.g., JCIA, CBAHI, Health Canada).
  • Experience in a hospital or clinical environment is an asset.  
  • Highly skilled with Microsoft 365 programs and suite, particularly Teams, PowerPoint, Excel and SharePoint.
  • English level A- is mandatory in oral expression, comprehension, reading and writing. Bilingual (French/English) is considered an asset

Salary Range: 44.74 to  53.44 per hour
