Job Summary
The 3PL Terminal Manager and Track/Trace Operations directs all activities necessary to operate one or more 3PL warehouses and container freight stations at maximum efficiency, ensures the timely and accurate loading and unloading of commodities that transit the warehouse, oversees all resources and material related to local facility management, and provides dispatch track-and-trace support to facilitate the efficient movement of freight.

The 3PL Terminal Manager and Track/Trace Operations directs all activities necessary to operate one or more 3PL warehouses and container freight stations at maximum efficiency, ensures the timely and accurate loading and unloading of commodities that transit the warehouse, oversees all resources and material related to local facility management, and provides dispatch track-and-trace support to facilitate the efficient movement of freight.
Primary Objectives
- Supervise 3PL operations and track-and-trace activities in alignment with business requirements and enterprise values.
- Maintain compliance with safety and regulatory requirements, quality standards, service level agreements (SLAs), and company policies.
- Maintain accurate inventory and shipment data in operational systems, including details on mis-ships, short ships, and load-outs.
- Achieve or exceed operational key performance indicators (KPIs), customer service expectations, and financial objectives.
- Work in conjunction with dispatch, customer service, sales, customs, finance, safety, and operations teams to ensure operational efficiency, safety, and control are maintained and subject to continuous improvement.
- Determine 3PL requirements and make adjustments as needed to cover fluctuations in volume and other changes as they occur.
- Establish and control cargo handling and storage plans and procedures in conjunction with assigned 3PLs.
- Establish requirements for 3PL labor scheduling and resource changes based on performance and facility volumes.
- Develop and manage annual budgets related to variable and fixed costs for terminal operations in collaboration with leadership and finance teams.
- Proactively resolve customer issues and communicate effectively with clients.
- Coordinate with Safety teams to maintain complete and accurate records of DOT drivers' activities and compliance standards.
- Maintain complete and accurate OSHA records and ensure compliance with all OSHA standards.
- Maintain and monitor compliance with safety policies and regulations and lead monthly safety meetings with 3PL staff.
- Monitor and manage inventory control procedures related to terminal operations.
- Verify 3PL compliance with maintenance and recordkeeping requirements, ensuring proper functioning for forklifts and warehouse equipment.
- Lead and manage container and shuttle dispatching functions and ensure KPIs are met.
- Create and recommend best practices related to departmental process flows and operational activities and lead continuous improvement initiatives through identifying and eliminating redundant processes for both internal teams and 3PL operations.
- Oversee receiving and verification of freight against receiving documentation, noting discrepancies and/or damage and reporting findings.
- Provide direction and guidance to 3PL staff on company policies and procedures.
- Review, verify accuracy, and approve related vendor invoices in accordance with company policy and within the month in which services are performed.
- Track and provide management reporting on key operational metrics and ensure performance objectives are achieved.
- Actively recruit and retain local drayage and delivery providers as needed to support operational requirements.
- Train and retain support staff with an acceptable retention rate.
- Provide dispatch and track-and-trace support, research shipment status, coordinate issue resolution, maintain transportation management and dispatch systems, and maintain accurate shipment, carrier, vendor, and customer records during periods of high volume, operational disruption, or staffing constraints.
- Closely track and monitor cargo movements and shipment status, proactively identify potential service issues, and coordinate resolution to ensure customer commitments are met.
- Generate and distribute operational status reports.
- Other duties as assigned.

Education
- Bachelor’s degree in Supply Chain Management, Logistics, Business, or related field, or equivalent combination of coursework and experience in directly-related field preferred
- 5+ years' experience in warehouse operations preferred
- 2+ years' experience leading operational activities, vendors, or teams preferred
- Experience developing and managing budgets preferred
- Understanding of basic principles of container freight station and warehouse operations.
- Ability to effectively use knowledge of best practices to drive sound business decisions and operational improvements.
- Ability to set and achieve individual and departmental goals consistent with, and supportive of the immediate department and overall goals of the organization.
- Proven ability to work in a fast paced environment, prioritize projects and deliverables, and interact effectively with cross-functional teams.

The salary range listed is based on the geographic zone associated with this role: San Rafael, CA. Starting pay will be determined by job-related factors including experience, education, and business needs and may be modified at any time.
