Position/ Title:  Event Technology Project Manager – Scanning Support (Contract)
Department: Event Technology & Registration
Reports to: Project Lead
Status: Contract, Temporary
Hours/Duration: Project duration/need may vary - typically 3-5 months engagement at 5-15 hours/week. Also typically includes an onsite week (or remote onsite support)

WHAT WE ARE LOOKING FOR
 
The Event Technology & Registration Project Manager – Scanning Support will serve as the main point of contact for the client stakeholder. This is a client-facing role, which will work directly alongside Opus Project Managers, Technical Architects, and vendor partners to deliver unforgettable experiences and delight our Fortune 500 corporate client.
 
YOU SHOULD HAVE 
  • 2+ years of experience in a relevant role
  • Experience in Rainfocus
  • Proven experience in pre-event project management and onsite session scanning management
  • PREFERRED: Experience with event technology project management, onsite operations, and facilities management
ESSENTIAL DUTIES AND RESPONSIBILITIES  
  • Schedule scanning workstream meetings to include workstream lead; take and distribute meeting notes 
  • Collect and document device allocations per room/activation
  • Support of final equipment counts to vendor based on key deadlines
  • Support client lead with documenting exceptions (e.g. override capacity for standing room, override for attendee type for a sponsor attending their sponsored session) 
  • Support client for dry run testing with vendor and documenting outcomes of dry run with platform vendor team for follow-up 
  • Support development of setup plan, distribution process, and schedule during pre-planning. Support on-site documentation, including support plan and production schedule.
  • Support event onsite
  • Assist client workstream lead with load-in, setup, and testing by platform provider of scanning devices and coordinate the platform’s scanning team’s onsite needs (e.g., space and access to power to charge devices, ambassador trainings, and communication plans) 
  • Assist with providing requirements and training to onsite temporary staff manager under direction of client workstream lead 
  • Create onsite ambassador training materials with content provided by client scanning workstream lead 
  • Train ambassadors onsite and assist with escalation/triage with vendor 
  • Assist client scanning workstream lead in supporting ancillary scanning locations onsite
  • Provide post-event wrap up metrics, documentation, and recommendations

  • Microsoft Office suite program experience (Outlook, Excel, OneNote); Excel and spreadsheet experience strongly preferred.
  • Language skills - Ability to write reports, business correspondence, and procedural instructions. Ability to present information and respond to questions from managers, clients, customers, or the public. Ability to interact both on a one-to-one and group basis.
  • Mathematical skills - Ability to apply concepts of basic algebra and geometry, fractions, percentages, ratios, and proportions to practical situations. Ability to create, monitor and understand budgets, debits, credits, and reconciliation.
  • Reasoning skills - Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule form.
TRAVEL AND FLEXIBLE SCHEDULE REQUIRED
 
This contract position requires travel to attend events 
  
HOW WE’LL TAKE CARE OF YOU
 
Our job titles may span more than one career level. The starting rate range for this role is between $65.00-$85.00 per hour. The actual rate is dependent upon many factors, such as training, transferable skills, work experience, business needs, and market demands. The rate range is subject to change and may be modified in the future.
