Webinar & Events Manager

As the Webinar & Events Manager, this well-organized professional with strong project management skills will focus on ensuring that various brands of The Institutes’ events and webinar needs are met including the full life-cycle of webinar and virtual event needs, in addition to supporting the event managers in planning in person events. This role will enjoy working across various different teams and with different stakeholders.

 

What You’ll Do:

  • Collaborate with Business Units on execution of their webinar strategy and plan.
  • Organize and project manage all aspects of webinars
  • Oversee the delivery of a program of webinars, including the set-up, speaker management, production, follow up communication, and coordination with Business Unit owners.
  • Work with the events team to support any internal or external company events.
  • Keep up to date on webinar best practices and making strategic recommendations for how to incorporate those into our events; analyzing and sharing post-event data to create status reports on webinar or event effectiveness
  • Make strategic adjustments or recommendations to future webinars/events based on the results of this data analysis; and maintain relationships with internal partners; produce regular reports on the performance of key metrics, aligned to overall business KPIs.
  • Communications – answering, directing calls to team or handling specific requests, monitoring shared emails and answering event attendees questions in a timely and professional manner.
  • On-site conferences – oversight in collaboration with meetings staff, sales team and meeting owner to ensure appropriate fulfillment of event deliverables per the event manager directions.
  • Speaker management – Work with speakers and presenters for both webinars and in-person events by connecting with speakers, giving them established deadlines and follow up on deliverables. Work with business unit, program chair and event manager to properly store the presentations and have them ready for the webinar/event day. Book speaker accommodations and/or arrange their reimbursement if applicable.
  • Participate in all internal and external team meetings.
  • Work cross functionally with other departments
  • Adhere to all deadlines and turnaround timelines.
  • Assume other duties and responsibilities not specifically outlined herein, but which are essential to the position.

What We’re Looking For:

  • Bachelor’s degree required, 2-4 years’ experience in digital experiences preferred (which may include webinars, virtual events or other digital experiences)
  • Proficiency in Microsoft Office programs.
  • Demonstrated ability to manage projects and timelines.
  • CVENT, ON24 or other event and webinar related platforms experience preferred.

Role is hybrid with at least two days each week in the office. Candidates should be able to commute to Malvern, PA at least two days per week.
