Safety Administrative Assistant
Reports To: Safety Manager
The Safety Administrative Assistant provides daily safety support for Tecta America Texas Roofing. This role ensures effective implementation of safety protocols, and maintaining compliance with relevant regulations. To excel in this role, one must possess a blend of administrative skills, attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities
- Translate safety materials, toolbox talks, and training documents between English and Spanish
- Travel to job sites to investigate accidents and safety incidents - Even on weekends if needed
- Conduct interviews and collect witness statements and incident documentation -
- Complete accident reports and manage insurance-related paperwork
- Coordinate with insurance providers, hospitals and medical clinics
- Scan, organize, and maintain employee certifications, toolbox talks, and safety records
- Submit required safety documentation and employee credentials to general contractors
- Assist with daily safety reports and job hazards analyses
- Work with field superintendents to collects and verify compliance documentation
- Prepare materials for safety training classes and meetings
- Track employee training records and update safety meeting notes
- Perform other duties as assigned to support the needs of the business.
Knowledge, Skills & Experience (Required)
- High school diploma or GED required; associate or bachelor's degree in a related field is a plus.
- 1 to 2 years of general office or administrative experience
- Strong organizational and documentation skills with a high attention to detail.
- Proven ability to manage multiple priorities in a fast-paced environment.
- Clear, professional written and verbal communication skills (English & Spanish)
- Ability to work independently, establish priorities, and follow through without constant direction.
- Strong problem-solving skills and sound judgment.
- Proficiency with Microsoft Office (Excel, Word, Outlook).
- Ability to build effective working relationships across office, field, and leadership teams.
- Commitment to quality, safety, and continuous improvement.
Knowledge, Skills & Experience (Preferred)
- Construction or roofing industry experience.
- Experience supporting safety programs or compliance activities.
- Experience working in a service-oriented or owner-direct construction environment.
- Familiarity with ERP or project management systems (e.g., Navision).

Working Conditions
- Work Environment: Office-based with regular interaction with field operations.
- Physical Requirements: Sitting, standing, walking, and repetitive computer work; occasional lifting up to 25 pounds.
- Travel: Limited local travel may be required for training or jobsite support.
- Hours: Mon-Fri with occasional Saturdays (Subject to overtime as business needs require)
