We are seeking a Sales Support Coordinator (Part-Time) for our Portland OR office.
 
The Sales Support Coordinator PT will play a key role in our company's sales and customer service efforts by assisting estimators in sending bids, proposals, budgets, and prequalification information to customers. This role involves direct engagement with existing and new customers, as well as public works, ensuring the accurate and timely submission of approved forms. The Coordinator's efforts are essential to achieving our outreach and customer service goals.
Job Functions:
 
  • New Account support – assist estimating team in researching, tracking, and securing projects with customers.
  • Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner.
  • Send budget and survey spreadsheets as directed.
  • Track and update customer interactions and communication.
  • Demonstrates the ability to maintain confidentiality on all issues.
  • Update and maintain sales tracker as well as hot list and turn around dates.
  • Review RFPs and prepare bid documents for Estimators
  • Create bid numbers in Navision
  • Set up digital job folders
  • Provide information to customers for prequalification submittals
  • Review, edit, prepare and send outgoing bids and proposals in a timely fashion
  • Maintain proposal section of Estimator Sales Trackers
  • Scan project documents to job files
  • Notify Project Admin and Estimators of any awarded projects
  • Order bonds (bid bonds, P&Ps, etc.)
  • Order Insurance certificates for newly awarded projects
  • Attend project meetings, sales meetings, and staff meetings
  • Other duties as assigned
  • 20-30 hours a week
 Knowledge, Skills & Experience:
  • Experience supporting account reps or equivalent
  • Strong knowledge of Microsoft Office products including, Word, Excel and Outlook
  • Customer service skills
  • Strong organizational skills and detail oriented
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills
