We are seeking an Accounting Assistant to support our accounting operations at our Van Nuys, CA office. This role is primarily focused on accounting and project-related financial support with secondary responsibility for general office coordination.

 

Position Summary:

The Accounting Assistant plays a key role in supporting day-to-day accounting and project administration functions. This position is responsible for maintaining accurate financial records, supporting project-related transactions, and assisting with accounts payable and collections activities.

The role also provides limited front office and administrative support as needed to ensure smooth office operations.

 

Accounting:

  • Enter and convert bids into active projects within Navision
  • Set up new jobs and maintain project documentation in ERP system
  • Process and track project-related financial transactions
  • Maintain accurate job cost data and support project financial tracking
  • Assist with accounts payable processes, including invoice tracking and coding
  • Support collections efforts through follow-up and documentation management
  • Maintain compliance documentation, including certificates of insurance (COIs), preliminary notices, and W-9s
  • Post and track weekly inventory usage
  • Assist in preparing reports for weekly sales and project meetings
  • Cross train with Senior Accounts Payable to support departmental needs 

 

Office Coordination (Secondary):

  • Answer and route incoming phone calls
  • Manage incoming and outgoing mail, courier, and shipping needs
  • Order and maintain office supplies and inventory
  • Coordinate travel arrangements and meetings as needed
  • Assist with general office upkeep, including shared kitchen areas
  • Provide additional administrative support to the team as needed

 

Qualifications:

  • 2+ years of accounting, bookkeeping, or AP/AR experience required
  • Understanding of basic accounting principles required
  • Associate’s or Bachelor’s degree in Accounting or Finance preferred
  • Experience with accounting or ERP systems (e.g., Navision) preferred
  • Construction or project-based accounting exposure preferred
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Excel and Word
  • Strong written and verbal communication skills
  • Positive, team-oriented attitude with a willingness to support office needs as required

 

Occupational Health and Safety: 

  • Compliance with workplace policies and procedures for risk identification, risk assessment and risk control
  • Active participation in activities associated with the management of workplace health and safety
  • Identification and reporting of health and safety risks, accidents, incidents, injuries and property damage at the workplace

  

Working Conditions: 

Physical surroundings:  Office environment with typical office machines and exposure to noise and temperature.

Physical Effort: Extensive sitting, standing, walking.   Repetitive keying, typing.  Occasional lifting not to exceed 25 pounds 

Travel: None

Hours: Monday- Friday 8:00am-5:00p

Starting pay rate of $28-$32/hr based on experience
