Imagine yourself going to work with one thing on your mind: that you will ensure that the EAs/AAs are connecting with the right departments in terms of schedule, logistics and other necessary arrangements. (Restaurant, Hotel, etc). As an Executive Administration Manager, you will be overall in charge of any executive visits in PH. You will maintain continuity of admin tasks for support and operations to ensure AAs/EAs are supporting the executives efficiently. You will assign, if needed, a specific admin assistant to an executive visitors to ensure the trip will run smoothly. You will be responsible for planning and scheduling executive visits. This includes meetings, agenda, boardroom reservations, interviews, orientations, 121s and training sessions. You will be overseeing special projects and tracking progress towards department/company goals. You will be responsible for planning and keeping track of multiple projects and deadlines in relation to the AAs/EAs. You will be overall in charge of making sure that executive visits will run smoothly and overseeing all administrative support. You will supervise the AAs/EAs to ensure maximum productivity. You will be mentoring, training and coaching the team and delegate assignments. You will manage the AAs/Team in assisting executives with Hotel Bookings/Accommodations, Flight assistance, shuttle assistance, Boardroom reservations, Restaurant reservations, Training room reservations, special events planning and the like. You will monitor and ensure that all admin related expenses of executive must be properly accounted for. Liquidation of Corp Cards, Reimbursements and other financial/admin related tasks. You will be leading, managing and planning of operational processes to support team/executives. You will be responsible with budget planning and enforcement and customer service procedures. You must be capable of becoming a project manager for special assignments/projects )Ex. Plastic-free project). You will lead the team in completing special projects by organizing and coordinating information and requirements and monitor results. You will improve programs and service quality by devising new applications; updating procedures; evaluating system results. You will maintain a top-notch group by recruiting, selecting, orienting and training Admin Assistant/Executive Assistants. Along with that, the Office Manager must communicate job expectations and standards through coaching and accountability to ensure that systems, policies, and procedures are met.

So what is it we’re looking for? We need someone who has the capability and ability to manage, inspire and coach a team to properly guide them towards tasks and goals. We need someone with commitment to developing key talents and building future leaders. We need someone with a minimum 3 years Leadership Experience, must have experience as an Executive Assistant to high-level Executives, and a minimum of 5 years experience in office/admin management.

We also need someone with extraordinary Problem Solving Skills, High level of emotional intelligence is also needed. We need someone who must have a high level of perseverance and passion. Someone who is knowledgeable with Travel, Booking and other Admin related preparations to ensure that the AAs under this person will render high-quality service/assistance. Graduate of a 4-year course preparable Administration or Management course. BPO, Corporate set up experience is a plus factor. We also need someone who has the ability to effectively present information and respond to questions from groups of executives, managers, clients, customers, and teammates.Lastly, someone we need someone with excellent in GSuite applications and must be knowledgeable in presentations and reports.
