So what does an ELO Supervisor really do? Think of yourself as someone who will be the primary head of your department, so not everyone can qualify for this role. Imagine yourself going to work with one thing on your mind: you must ensure that all business procedures used to complete operational responsibilities are followed by your direct reports. As you tackle your new tasks for the day, you know that it will lead to one thing: that you are tasked to regulate, maintain, and assist in administering the activities of existing clients, prospective clients, executives, and employees.
As an ELO Supervisor, you will assign assign work, provides direction to clerical staff and ensures that assigned tasks are completed and you will also ensure that there’s an effective as well as appropriate staff coverage. You will monitor the performance of staff, provide feedback on their performance and conducts performance evaluation. As a supervisor, you will evaluate, develop and recommend office procedures as well as practices to senior management. What else? Well, you will also ensure that approved office policies, practices and procedures are understood and followed. You must also respond to outside inquiries about services offered by the organization. You must also communicate with other community service agencies and/or ministries regarding client enrolment in and attendance at programs. You will also track office or program expenditures by recording expenses, alerting the supervisor to budget overruns and unusual expenses and authorizing purchases. You will maintain a variety of financial records such as petty cash fund, purchase orders and cheque requisitions. You will provide input into budget formulation. As a supervisor, you must also maintain client and program information using spreadsheet and/or database software. You will also produce ad hoc reports from databases as required by the supervisor by identifying and organizing the required information, compiling data, designing format, and printing reports. You will perform other related duties as required. What else? Well, we need a good leader and someone who must monitor the performance of the staff.
So, do you have what it takes to become an ELO Supervisor?
So, what is it we’re looking for? Well since this is a supervisor post we need someone who has the experience to call themselves one. So someone who has at least 5 years of similar or related experience. You must also have at least 3 years of events management experience. You also need experience in the following: working with foreign nationals, working with relocation project both inbound and outbounds for expats, experience in travel accounts or travel agencies, and also experience in hospitality industry is also a plus.
Now let’s get a bit technical. We’re looking for someone who has knowledge when it comes to travel arrangements (i.e hotel bookings, airline bookings both international and domestic). We also need someone with knowledgeable in regulating, maintaining and assisting administrative activities for existing clients, prospective clients, executives and employees. Lastly, we need someone who is knowledgeable on tracking and recording admin related information for smooth process.
