POSITION OVERVIEW:

The Receptionist is responsible for providing Front Office and other administrative support for the Company. The Receptionist deals effectively with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the organization. The basic office job of a receptionist is to greet the public, visitors, customers, and other parties that arrive in person.

 

KEY JOB RESPONSIBILITIES:

  • Receptionist office hours are from 8:00am – 5:00pm with an hour for lunch
  • Screens and routes telephone calls in a courteous and efficient manner
  • Receives lobby visitors and greets customers
  • Distributes incoming mail to internal recipients on a daily basis
  • Maintains the conference room calendars
  • Create new hire personnel folders
  • Obtains hardhats and safety glasses the day prior to contractor orientations
  • Maintains appropriate levels of new hire gifts and requests additional when needed
  • Creates, updates, and cancels employee and visitor building access badges
  • Assists the Executive Assistant with booking internal meetings, lunch orders and set-up as needed
  • Scans, copies, and prepares UPS shipments
  • Assists various departments by preparing incoming and outgoing mail, preparing invoices for filing and maintaining the postage machine
  • Removes terminated personnel files from active and files in inactive cabinet
  • Maintains and orders office supplies, coffee and breakroom supplies for the company
  • Receives vendor certificates of insurance and logs them for future reference
  • Maintains filing of any personnel paperwork on a daily basis
  • Point of contact for and maintains relationship with coffee and vending providers
  • Any other duties or responsibilities assigned by TAS

 

JOB SKILLS

  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality
  • Proficiency on telephone console
  • Competency in handling a variety of personalities and pressure situations.
  • Very detailed oriented
  • Excellent computer skills and knowledge of a variety of software applications
  • Protect and maintain confidentiality without compromise

 

 

EDUCATION & TRAINING:

  • High School Diploma or equivalent

 

MINIMUM REQUIREMENTS:

 

  • High level of proficiency with MS Office Suite, including but not limited to Word, Excel and MS Outlook.
  • Two (2) years in a front office and/or customer service-related environment.
  • Professional appearance.
  • Responsibility to be on time for all shifts.

 

PREFERRED REQUIREMENTS:

  • Bilingual (English/Spanish)

 

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:

Position is at least 80% to 95% at a desk working with computer. Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.  Performs other physical activities including use of fingers, sitting, stooping, bending, crouching, talking, hearing, and performing repetitive motions.  Visual acuity requirements include color, depth perception and field of vision necessary to prepare and analyze data and figures, operate a computer terminal, and conduct extensive reading.  The incumbent will be subject to inside environmental conditions.
