About the role:  
 
We are seeking an experienced Human Resources Operations Specialist with a concentrated background in leave and workplace accommodation administration. Reporting to the HR Operations Manager, this role offers the opportunity to develop and manage a best-in-class leave of absence (LOA) and workplace accommodation process tailored to meet the needs of our clinical and corporate employees. 
 
You will be responsible for:  
 
Leave Administration: 
  • Liaising between third party leave administrator and Talkiatry team to provide seamless support for leave of absence administration process, including but not limited to FMLA, ADA, state-specific leave laws, short -term disability, long-term disability, personal leaves, and company policy. 
  • Collaborating with the HR team to assess and coordinate reasonable accommodations for employees returning from leave. Provide direct support to employee’s needing assistance on maneuvering complex leave claims i.e.: leave denials and appeals process, guidance on return to work, reasonable accommodations, concurrent leaves such as WC & FMLA, and comprehending leave polices. 
  • Dealing with various situations that may arise during the leave process, such as disputes, grievances, complaints, or emergencies. 
 
HR Program Administration & Consulting: 
  • Ensuring proper management of all administrative aspects of leave claims to include tracking hours used/taken; return to work data; file reviews and working closely with the Managers, HR, and payroll to ensure that key dates, details, and status is accurate and correct. 
  • Serving as the subject matter expert on leave and accommodation matters, providing guidance and support to employees, managers and HR partners on leave policies, procedures, and legal requirements. You will also conduct training sessions to educate stakeholders on relevant topics. 
  • Continuously evaluating and refining the LOA process to streamline efficiency, enhance employee experience and mitigate compliance risks. 
  • Collaborating with the payroll team to ensure seamless integration of leave and accommodations into payroll processing. 
 
HR Systems: 
  • Providing support to employees, managers, and HR Business partners on basic transactions in the HR ticketing system. 
  • Assisting in interpreting leave of absence notifications provided by leave administrator with relevant teams. 
  • Under general supervision, making systems updates, corrections, and support periodic audits for accuracy. 
  • Maintaining data integrity and respond to third party inquiries with appropriate information related to return to work, state notices, overpayment research, processing leave related terminations, placing employees on personal, administrative, workers compensation andstate leaves of absence. Provide verification of hours related to FMLA. 
 
Data Reporting and Analysis: 
  • Generating reports and analyzing leave data to identify trends, patterns, and areas for improvement. 
  • Providing regular updates to HR leadership on leave metrics and trends. 
 
Project & Process Management: 
  • Leading and/or participating in small to medium process improvement initiatives that require a basic working knowledge of project management. 
  • Design Standard Operating Procedures that outline step by step solutions for common requests for leave administration. 
 
Documentation and Compliance: 
  • Liaising with HR Business Partners and specialists to interpret and respond to inquiries on HR policies and procedures during the full employee lifecycle. Adhering to documented procedures in executing strategy and ensuring compliance with applicable regulations. 
  • Ensuring accurate and complete documentation for all leave cases, including medical certifications, communication records, and other relevant paperwork. 
  • Staying informed about federal, state, and local laws and regulations related to leaves of absence, ensuring compliance with all applicable legislation.

Your Qualifications:  
  • Minimum 2+ years of benefits and leave of absence management, disability management and/or FMLA administration experience required. 
  • BA/BS in Human Resources, Management, or a related field or professional experience equivalent preferred. 
  • Knowledge and understanding of federal and state legislation, rules and standards related to absence management programs coordination. 
  • Experience in handling complex leave cases. 
  • Healthcare experience highly preferred. 
  • Strong written and verbal communication skills required. 
  • Proficient with Microsoft Office (Work, Excel, PowerPoint, Outlook) product suite. 
  • Familiarity with HRIS and CRM systems; ADP & Jira preferred.

  • Compensation range for this position is $70,000 to $80,000, depending on experience; actual compensation will be dependent upon the specific role, location, as well as the individual’s qualifications, experience, skills and certifications.
