Business Administrator
Description
Position Purpose
The Business Administrator is responsible for the administrative upkeep of our Japanese entity including legal and administrative filings to Japanese governmental bodies, collaboration with our external service providers and the upkeep and management of our office environment.
Essential Responsibilities/Accountabilities
Business Administration
- Administrative reporting to labor bureau related to business licenses, labor relations, etc
- Drafting, filing and submission of contracts and other official documents
- Managing monthly timecard records and partnering with global payroll to confirm data
- Liaising with building management companies for Osaka and Tokyo offices
- Management of emergency preparedness plan and fire safety related applications and related reporting
- Planning and fulfillment of annual reporting and administrative requirements according to Labor Standards Acts
- Individual tax surveys
- Annual health checks
Office Administration and Upkeep
- Travel support for visiting employees and executives from global offices
- Management of incoming and outgoing parcels from the Osaka office
- Management of Osaka stationary
- Basic office cleaning and upkeep of office plants and furniture
- Managing and refilling stock of stationery, shipping labels and miscellaneous office supplies
- Filling and submission of invoices, contracts and receipts

Minimum Qualifications
- 4 Year University Degree or equivalent experience in business administration or legal procedure
- Impeccable organizational, schedule and task management skills.
- Proficiency in MS Office, Outlook and Slack.
- 2+ years of paralegal work, general affairs or labor management experience.
- Strong communication skills and ability to collaborate across disciplines and language barriers.
- Business level English written and spoken
- English: TOEIC 800+
- Native level Japanese proficiency
- Knowledge of Japanese labor law and procedural submissions at Labor Bureau, Legal Affairs Bureau and Immigration Bureau
Preferred Experience
- Licensed “Labor and Social Security Attorney,” (社労士) or “Administrative Scrivner” (行政書士)
- Experience working in a multicultural, multinational and multilingual environment
- Experience in fast moving start-up style environments

Work conditions of the role are:
Work conditions may involve moderate exposure to unusual elements such as dirt, dust, fumes, unpleasant odors, and/or loud noises.
- Must be able to wear and properly utilize appropriate personal protective equipment (PPE) to work within or visit areas where required. This includes safety glasses, reflective vest, ear plugs, steel-toed shoes, and other PPE as required by the location.
