Senior Production Manager
Description
The Senior Production Manager is a key project lead responsible for overseeing the logistics and execution of all production elements across events and activations. This role manages internal teams, external vendors, and client communications from initial confirmation through final wrap. The ideal candidate brings deep experience in event logistics, strong leadership capabilities, and a strategic mindset to ensure seamless project delivery and client satisfaction. This role reflects the depth and breadth of experience, inclusive of scale, complexity, client type, budget, and risk.
Responsibilities:
- Serve as the primary client point of contact throughout the full project lifecycle, independently or as part of the core project team.
- Lead cross‑functional teams in planning and executing events with minimal oversight.
- Ensure all production elements are delivered on time, within budget, and at the highest quality standards.
- Build and maintain strong client relationships, serving as Client Lead when assigned.
- Provide clear, consistent communication on project status, deliverables, and budget updates.
- Navigate complex client conversations with professionalism, strategic thinking, and solution‑oriented guidance.
- Oversee all production logistics, including scheduling, vendor coordination, and on‑site execution.
- Monitor timelines and proactively identify and resolve risks or delays.
- Ensure adherence to safety, legal, and operational requirements.
- Maintain and manage project documentation across systems such as Google Drive, Box, Slack, SharePoint, Airtable, Asana, Zoom, Outlook, and Concur.
- Manage and submit required permits for activations.
- Partner with local agencies to ensure the health and safety of event participants and project teams.
- Manage project budgets, including expense tracking, forecasting, and financial reporting.
- Communicate budget status and updates to clients and internal stakeholders.
- Identify cost‑saving opportunities while maintaining quality standards.
- Mentor and support Coordinators and Project Managers in their professional development.
- Contribute to refining production processes and establishing best practices.
Requirements:
- 8+ years of event production experience in live events, theatrical arts, location-based entertainment and/or other entertainment fields
- Experience working with high-profile clients and large-scale events.
- Experience managing budgets $500,000-$2.5M+
- Familiarity with vendor negotiation and contract management.
- Above average knowledge of corporate and project financial mechanisms – EBITA, margin, revenue recognition and skilled in developing budgets across a wide range of formats, including ROM/placeholder estimates, nuclear estimates, and indicative budgets.
- Solid understanding of budget implications for equipment rentals, staffing rates, and overall financial outlay across technical disciplines.
- Management experience of different labor types
- Working knowledge of scenic construction & materials, video production, lighting, design, print process & materials, and live event production & delivery logistics
- Ability to juggle many concurrently ongoing conversations & projects
- Ability to make decisions on the prioritization of tasks of project teams
- Strong knowledge of core event production elements, terms, and process
- Solid knowledge of venues (NYC and beyond) & production capabilities
- Proficient in Microsoft Office on both MacOS and Windows platforms.
- Familiarity with (or willingness to learn) tools such as:
- Project Management tools (Slack, Box, Airtable, Concur, Asana, Sharepoint and Google
- Docs)
- Microsoft Office including Word, Excel, PowerPoint, and Outlook
- Budget management and analysis (e.g. Power BI, Tableau)
- Enterprise Resource Planning (ERP) (e.g. Epicor, SAP)
- Customer Relationship Management (CRM) (e.g. Salesforce)
- Flexibility to work evenings, nights, and weekends as required.
- Experience working in international markets a plus.
- Willingness to travel domestically and internationally as needed.
Education:
- Bachelor's Degree preferred
Salary: $90,000 - $115,000 commensurate with experience
