Description

At Hudson Pacific Properties, we provide best-in-class office & studio space to the biggest names in tech and media and we're seeking an Operations Manager to join our team for our brand-new purpose-built Sunset Pier 94 Studios consisting of 6 sound stages with production support and offices (approximately 230K SF) in New York City. The Operations Manager is responsible for tenant relations, operations, financial and administrative duties.
 
What You'll Do:
  • Provide daily oversight and ensure the proper functioning of studio operations including building systems, security, janitorial, landscaping, and parking.
  • Ensure client and tenant satisfaction by meeting regularly with primary contacts, providing prompt follow-up on work orders, general correspondence, or resolution of any issues with escalation to the Director as needed.
  • Plan and direct the coordination of tenant events with the Operations team.
  • Maintain vendor relationships for services such as landscaping, janitorial, security, parking, elevators, and engineering by meeting regularly and performing property inspections with third-party service providers.
  • Provide work direction for on-site third-party contractors and studio staff.
  • Collaborate on the bidding process for maintenance contracts to ensure best cost and quality of service.
  • Manage repairs and maintenance of sound stages, production offices, and common areas, working closely with all studio departments and clients for coordination.
  • Maintain all permits, licenses, and fees required on all building equipment.
  • Ensure all required equipment and system testing is performed as needed and corrections are made in a timely manner.
  • Support Construction and Engineering Departments in the bidding process and project progress for capital improvements and tenant improvements.
  • Complete assigned capital improvement projects within the approved budget and calendar year.
  • Respond to all emergency situations on the property using Emergency Response guidelines, make appropriate notifications, submit Incident Reports, and manage follow-up repairs.
  • Oversee processing of property and liability insurance claims by interacting with adjusters and insurance consultants.
  • Oversee and maintain the certificate of insurance log process and confirm that all tenants and vendors are up to date and compliant.
  • Support in guiding the Operations team by helping ensure day-to-day functions run smoothly and provide mentorship and basic development support to any assigned direct report.
  • Assist in developing and preparing the annual operating budget.
  • Ensure accuracy of client invoicing to support correct billing and projections.
  • Monitor delinquent accounts receivables and follow up with clients or tenants, initiating collection activities when necessary.
  • Prepare monthly aged receivable reports to explain delinquencies for Director and Accounting review.
  • Approve accounts payable invoices and purchase orders to ensure correct expense accounts and allocations among multiple properties.
  • Follow the monthly process to reconcile operating expense accounts to the general ledger and oversee reclasses for any corrections.
  • Prepare monthly reports to explain variances from expected revenue and operating expenses.
  • Prepare monthly accruals for capital and operating expenses.
  • Prepare monthly cashflow reports for capital expenses.
  • Interface with the Leasing and Sales Department to support leasing activity.
  • Maintain all vacant spaces to be lease-ready for tours and seamless client move-ins.
  • Perform miscellaneous duties as assigned.

 

What You'll Need:

  • Bachelor’s Degree required.
  • Minimum 3-5 years as a Property Manager/Operations Manager
  • Excellent financial analysis skills.
  • Supervisory experience and the ability to coach and train staff.
  • Experience in studio operations or production in the entertainment industry a plus.
  • Excellent computer skills and demonstrated working knowledge of computers and software including MS Windows, Word, Excel and PowerPoint.
  • Familiar with Yardi (accounting system) or similar.
  • Polished professional demeanor with excellent written and verbal English communication skills to write memos, letters and reports, and interact effectively with prospects, tenants, peers, vendors, and management.
  • Ability to motivate direct reports and cross-functional team members to create a positive work environment and high morale.
  • Ability to work under pressure and manage competing priorities while staying focused and meeting deadlines without sacrificing accuracy.
  • Ability to multi-task, attention to detail, with excellent follow-up skills.
  • Ability to adapt to changing environment and perform in a fast-paced entrepreneurial environment.
  • Maintain a professional demeanor around clients, executives and on lot talent.

Essentia Physical Functions / Environment 
  • Requires a wide range of constant physical and office activities, including but not limited to: walking, standing, sitting, talking, speaking, bending, lifting, finger manipulation, etc.
  • Frequent repetitive movements.
  • Requires work such as tours throughout property, including construction sites, usually performed by walking and by climbing stairs.
  • Requires movement between departments to facilitate work.
  • Requires close, distance, peripheral vision and depth perception. 
 
Salary Range: $125,000.00 - $140,000.00 annually USD (subject to relevant experience)
