Suffolk University is pleased to announce a career opportunity as an Administrative Coordinator at Counseling, Health & Wellness (CHW) serves as a member of the Administrator Coordinator team supporting the operations of a busy healthcare clinic serving a diverse population of undergraduate and graduate students.  Duties include providing general office administrative duties including answering/triaging phone calls, scheduling student health & counseling appointments, receiving students/visitors to the Center, and collaborating on other administrative projects with CHW leadership.  This position works closely with the CHW Director regarding departmental budget functions including submitting expenses and generating reports.  The position is full-time, 12 months.  Suffolk University’s generous benefits package includes free tuition!

Primary/Principal Responsibilities:

General Administrative Responsibilities:  Answers/triages phone calls for a multi-line clinic and schedules/reschedules student health & counseling appointments with CHW providers.  Triages external medical requests.  Provides administrative support to CHW wellness activities and logistics. Assists with facilitating transportation of students to local area hospitals or health care facilities in collaboration with CHW health and counseling providers.  Observes strict adherence to confidentiality requirements regarding student health information. (70%)

Under the supervision of CHW Director, provide administrative support for budgeting processes including the processing of invoices/PO, coordinating internal collection of reimbursable expenses for staff, record-keeping regarding budget transactions, and generating reports as needed.  Requires utilizing Suffolk’s Workday technology.  (15%)

Collaborates with other Administrative Coordinators and assists with and/or assumes duties of other CHW Administrative Coordinators as needed.  Assists with special administrative projects/other duties as assigned by CHW leadership. (5%)

Attends CHW staff meetings as well as Administrative Coordinator meetings as scheduled. (5%)

Other duties as assigned by the CHW Director.  (5%)

Requirements/Qualifications:

  • Associates Degree or equivalent experience (Bachelors preferred)
  • Knowledge of and experience with electronic medical records systems
  • Comfort and willingness to learn new technology to perform job functions including budget functions, scheduling, and other software-based tasks
  • Ability to work in a fast-paced, interdisciplinary environment
  • Experience and interest in working within a diverse community of students, staff, and faculty
  • Ability to work independently and as a member of the CHW team
  • Strong organizational skills
  • Strong written and verbal communication skills
  • Strong customer service skills applicable to interfacing with students and other Suffolk community members
  • Strong general computer skills in Microsoft Office products and Outlook
