SBS Undergraduate Program Coordinator

Job Description

In consultation with the Director of UG Programs, coordinators will prioritize responsibilities for SBS UG Programs, including tasks specific to SBS academic departments.   This includes, but not limited to:

  • Undergraduate Course Scheduling
    • Working as a team, review and enter all SBS UG courses
    • Assist in monitoring waitlists and course enrollments
  • Advising
    • Coordinate training for faculty with the Undergraduate Academic Advising Center
    • Assign faculty advisors to students and keep assignments updated
    • Coordinate and plan department group advising events, face-to-face and virtual.
  • Event Planning and Programming (face-to-face and virtual)
    • Coordinate all logistical arrangements (room reservations, catering orders, etc.)
    • Event planning does not include student organizations.
    • Communications
      • Catalogue Updates
      • Promotional materials for Open House and Showcase events
    • Provide details of department events to be included in the bi-weekly BSBA Bottomline Newsletter
  • Summer Programming
    • Assist with SBS summer high school programs, including being present for specific events occurring programs
  • Honors Programming
    • Support for events, as directed by the Assistant Dean and/or Assistant Director of UG Programs
  • Orientation Programming
  • Support UG Programs Retention Initiatives and Programming
    • Included, but not limited to, First Year Experience programming
  • Support new UG initiatives as needed
  • Creating Reports for Academic Departments and UG Programs
    • Generating Data - using Colleague, Informer, Qualtrics, Excel etc.
    • Creating Visuals– using Excel, PPT, etc.
  • Scheduling for SBS courses
    • CareerLinks
    • SBS101
    • INTO
  • Monitoring general SBS UG email
  • Collect and maintain syllabi on shared drive every semester.
    • Coverage of SBS Dean’s Office Front Desk, as needed.  Other tasks and responsibilities as needed


  • Three to five years of office experience required.
  • Strong computer skills (e.g., Microsoft Word, Excel, PowerPoint and Outlook) required.  Experience using databases is helpful.
  • Experience in social media platforms (e.g. LinkedIn and/or Qualtric) desired but not required
  • Strong written and oral communication skills.
  • Must be committed to providing the highest level of customer service and responsiveness. 
  • Must have strong attention to detail.
  • Must be able to manage multiple projects simultaneously, set priorities, meet deadlines, and anticipate needs in a busy office setting with frequent interruptions. 
  • Proven ability to work independently and as part of a team. 
  • Must be able to handle confidential and sensitive materials and matters with tact, discretion, and sound judgment.
  • Must be creative and proactive to ensure efficient operation of the office and must have ability to resolve problems. 
  • Standard hours of this position are 8:45am to 4:45 pm, M-F, with an occasional evening or  weekend during the academic year if an event is scheduled.
