Role
We’re looking for a Recruitment/ Talent Acquisition Operations Coordinator to help support strategic recruiting programs. This role will sit within our APAC TA Operations Team predominately supporting North Asia, Korea and Japan in addition to multiple functions across APAC.
As a Recruitment/ Talent Acquisition Operations Coordinator you will be responsible for solving hiring challenges through system, data and process driven solutions. You’ll need to understand every aspect of the hiring process in order to advise others on all recruiting operation and program topics. It’s your role to support the end-to-end hiring process, systems, programs and policies. This will require you to think big, use data to guide your work and be confident when challenging convention. You’ll partner with a core group of TA subject-matter experts to support process design and assist in project management. Your contributions will help to build, implement and support key recruiting programs aimed at driving greater consistency, efficiency and results across the entire recruiting lifecycle.
You should feel confident collaborating and communicating with all levels of employees across the organization through strong partnership and change management to enhance the recruiting experience for all of Splunk's recruiters, employees, and candidates.
Responsibilities
- Assist to Drive a World Class Candidate and Hiring Manager Experience throughout the Interview Process
- Greeting candidates, where possible, for local Onsite Interviews
- Streamlining Offers and Scheduling process across APAC
- Working in partnership with the Global TA Ops Team and TA Recruiters across APAC, developing an intimate understanding of the Recruitment cycle and operational needs.
- Seamless Interview scheduling of Phone/Video Conferencing/Onsite and Offsite Face to Face interviews across multiple global time zones and countries, from University to Executive Level positions
- Booking of Internal and External Meeting Venues as required.
- Actively “like”, “share”, re-post, Tweet, Re-Tweet Splunk Articles on Social Media
- Partner with Facilities on Confirmation of Desk space for new hires.
- Following up on Background Checking, Signed Offer Letter documentation, Laptops etc. across multiple Regions to ensure a seamless onboarding process
- Verification and releasing of Offer Letters
- Become familiar with 1-2 Use Cases Every Qtr.
- Drive TA Related Projects and Initiatives not limited to Referrals, HC Reports and TA Newsletters managing the background checking vendor, releasing Letter of offers locally etc.
- Play a critical Lead role in transitioning TA Ops from San Fran to APAC this year as we work toward Releasing Offer Letters, executing Background checks in Region.
- Regularly attending Regional QBU’s
- Extremely proficient at handling high volumes of work and multi-tasking
- Effectively drive organizational change through meticulous attention to detail and deliberate communication
- Assist Global Mobility team on Local Employment Pass applications
- Demonstrates a high degree of integrity and maintains confidentiality
- Provide timely follow-up to inquiries related TA programs and policies
Requirements
You’re an operationally driven person that delivers. You're a positive influencer with a strong sense of ownership and initiative. You have a passion for Talent Acquisition and you want to be part of one of the fastest technology companies around where change is constant. In addition, you possess the following qualifications:
- A minimum of 5 years of work experience within Talent Acquisition or Human Resources, ideally in a similar role
- Proven experience in confidently engaging with Senior/Executive level stakeholders and candidates
- Experience with Enterprise ATS and recruiting tools and systems.
- Effectively Work in an autonomous and unsupervised environment
- Actively like”, “share”, re-post, Tweet, Re-Tweet Splunk Articles
- Post /Re-Post Splunk Jobs on Linkedin twice weekly at a minimum
- Focused and effective problem solver with shown experience developing and improving processes
- Solid written and verbal communicator with the ability to partner and influence across levels and functions
- Strong analytical and English communication skills, ideally with fluency in either Chinese, Japanese or Korean languages
- Organized, efficient and proven ability to prioritize effectively with a strong sense of urgency
- Demonstrable ability to thrive working in a highly dynamic team environment
- Strong Cultural awareness of candidates and Splunk Stakeholders within region and globally
- Advanced Microsoft Office skills (Excel, Word, PowerPoint, etc.)
- Extremely proficient at handling high volumes of work and multi-tasking
- Demonstrates a high degree of integrity and maintains confidentiality
- Experience creatively contributing to social media channels, employment branding, marketing, advertising, graphic design and copywriting is a plus
