We are looking for a Project Coordinator to join our Project Delivery team!
The Project Coordinator will manage client and project expectations in partnership with Client Service (CS). Together Project Delivery, Client Service, and Business Operations (collectively the Client Solutions Group) work to ensure project success. This includes, but is not limited to, developing and managing project schedules, coordinating cross-functional team deliverables, supporting client relationships, and coordinating with external vendors through the project lifecycle. This person supports the effective execution and compliance of internal and client-facing projects and may lead small to mid-sized projects with assistance. The Project Coordinator will have a partnership with Client Service and/or Delivery leadership and support the project team with critical project tasks.
Job Responsibilities
Client Project Delivery
  • Support project team with creating estimates and schedules/timelines under supervision. Monitor and adjust as necessary, communicating with stakeholders as changes or risks occur.
  • Apply established workflows and best practices across digital and traditional disciplines to achieve project goals on time
  • With supervision and through proficiency of job skills/requirements, ensure client expectations are met during delivery
  • Execute details of individual projects with supervision across functional teams, spanning creative, digital, media, technology, etc.
  • Support project team with supervision, in coordinating with external vendors through the project lifecycle, including web, translation and print production processes.
  • Support project team with follow ups, recording, and tracking delivery of tasks
  • Develop skills in Work Management System (WMS)/project management software to accomplish project tasks. Support project team with the setup and maintenance of project data and assets in WMS
  • Learn and support project team with digital executions (website, display, search, social, promotional, emails, etc.) with direct supervision
  • Monitor and report on progress of the project while managing client expectations. Begin to gain awareness of project-related risks with direction and coaching from Delivery leadership
Project Financial Health
  • Learn data reporting tools with goal to monitor and report on project profitability, variances, and identify budgetary risks with direction and coaching from Delivery Leadership
Process Optimization and Work Management System
  • Assist with process oversights such as quality control, file naming/saving, and proofreading QC
  • Assist with updates to internal tools, processes, and documentation
General
  • Strong interpersonal skills and developing proficiency in written and verbal communication to both internal and external stakeholders
  • Based on client and internal project demands, additional duties may be assigned
  • Work flexible hours as needed to accommodate global clients
Desired Skills and Qualifications
  • Bachelor’s Degree preferred
  • Working knowledge and/or willingness to learn and understand Project Management fundamentals; 0-2 years’ experience or other relevant exposure like an internship will also be considered in Project Management/Client service-oriented roles managing projects in marketing, communications, advertising or related fields
  • Healthcare, life science, pharmaceutical, or similar regulated experience a plus; i.e. research, clinical trials, commercial, or operations
  • Strong attention to detail
  • Excellent communication skills
  • Highly collaborative and solution-oriented
The anticipated pay rate for this position will be $21.63-$26.44/hour. This position is eligible for overtime pay. Pay rate is based on job-related factors such as: years of relevant experience, qualifications and/or certifications. Spectrum reserves the right to modify this pay range at any given time.
