Position Description

We are seeking a highly organized and proactive Executive Assistant to support members of our Global Executive Leadership Team. This role requires a forward-thinking individual with exceptional communication, time management, and problem-solving skills. The Executive Assistant will be responsible for managing the day-to-day operations of the CRO and COO’s offices and providing high-level administrative support to senior executives, ensuring seamless communication and efficient operation of the company’s leadership functions.

 

Specific Responsibilities

  • Provide comprehensive administrative support to the CRO/COO and other senior executives, including managing calendars, scheduling meetings, and prioritizing tasks
  • Handle incoming communications (emails, phone calls, and messages), screen for urgency, and respond on behalf of the executive team as appropriate
  • Arrange complex domestic and international travel itineraries, including flights, accommodations, transportation, and other logistics, ensuring efficiency and cost-effectiveness
  • Schedule, organize, and prepare for meetings, including gathering materials, preparing agendas, and taking meeting minutes. Assist in planning company events, conferences, and board meetings
  • Support the execution of company initiatives by tracking project timelines, deliverables, and coordinating resources as needed
  • Draft, proofread, and edit correspondence, presentations, and other documents, ensuring accuracy and clarity
  • Handle sensitive and confidential information with the highest level of professionalism and discretion.
  • Assist in streamlining processes and identifying opportunities for improved efficiency within the leadership team’s operations

 

Required Qualifications

  • 3+ years of Executive Assistant experience
  • Proficient with all Microsoft Office applications
  • Strong organizational and critical thinking skills with attention to detail
  • Ability to handle multiple tasks simultaneously and prioritize effectively in a fast-paced environment
  • Ability to work successfully with leadership team

 

Preferred Qualifications

  • Intermediate skill level using Microsoft Excel and PowerPoint
  • Prior experience in the technology or distribution industry is a plus
  • Experience managing executive travel logistics and budgets
