Responsibilities:

  • Day-to-day administration and coordination of all areas of executive support. 
    • Scheduling, Calendaring, travel, budget assistance and expense management, invoice approval routing and follow-up, meeting and office support, presentation prep assistance and other administrative activities. 
    • Handle travel arrangements and make frequent revisions as needed
    • Schedule and coordinate numerous weekly and ad hoc meetings
    • Interact with key contacts, investors and other C-level individuals
    • Manage meetings for cross-departmental initiatives
    • Act as point person for visiting executives 
    • Other duties as required

  • Sense of humor
    • Professional demeanor – engaging at all levels with Sitecore employees, customers, and partners
    • Phone handling skills – ability to screen calls and determine proper next actions
    • Calendaring – managing multiple calendars within a dynamic, fast paced environment, across multiple time zones, countries and continents.
    • Meeting coordination – setting up group meetings, note-taking and follow-up on action items
    • Travel coordination – researching and compiling comprehensive travel plans for executives on the go globally – including airlines, transportation, lodging, maps, meeting schedules, agendas, and participant backgrounders (as appropriate)
    • Financial assistance – demonstrated ability to help maintain budgeting spreadsheets and receipt reimbursement processes.
    • Excellent verbal and written skills
    • Extremely high level of discretion pertaining to confidential information
    • Expert on meeting technology, Microsoft Office, balanced skills across Word, Excel, and Powerpoint.
    • Superior time management and organizational skills. 
    • 5+ years’ Executive Administrative Assistant experience to C level
