Position Summary

 

The Project Assistant supports high-volume project operations by coordinating activities across Financial Operations, Contracts, Resource Management, Talent Acquisition, Project Support, and other business functions. This role is responsible for maintaining project records, assisting with project and contract administration, facilitating cross-functional communication, tracking operational requests, supporting resource-management activities, monitoring project and assignment lifecycles, and maintaining project-related documentation. The Project Assistant helps ensure information flows efficiently between staffing, contracting, financial, and project systems, supports operational execution, and contributes to accurate project setup, maintenance, invoicing support, and reporting within Sikich systems. Strong organizational skills, attention to detail, communication abilities, and the ability to manage multiple priorities are essential to success in this role.

What will you do in this role?

Project Administration & System Coordination 

  • Supports high-volume project creation, maintenance, and administrative activities for client engagements. 
  • Creates, updates, and maintains project data within Oracle and other Sikich platforms, ensuring information accuracy and completeness. 
  • Assists with project and contract setup, modifications, maintenance activities, and project closures. 
  • Coordinates project-related information across CRM, contracting, staffing, and financial systems to ensure data consistency and operational readiness. 
  • Supports billing and financial operations, including coordination of weekly, bi-weekly, and monthly invoicing activities and required supporting documentation. 
  • Monitors project, contract, and assignment lifecycle milestones, including upcoming end dates, extensions, renewals, and change-order activities. 
  • Monitors project records for inconsistencies and escalates issues to appropriate teams for resolution. 
  • Maintains project-related documentation, records, and reporting tools. 
  • Supports implementation of established processes and workflows under the direction of leadership and senior team members. 

Cross-Functional Communication & Coordination 

  • Serves as a communication liaison between Financial Operations, Contracts, Resource Management, Talent Acquisition, Project Support, and other operational teams. 
  • Coordinates project-related requests and ensures timely communication between impacted departments. 
  • Tracks action items and follows up with internal stakeholders. 
  • Assists with gathering and organizing information required for project onboarding, maintenance, staffing, and support activities. 
  • Maintains status updates and reporting for leadership regarding project support workloads and operational initiatives. 

Operational & Resource Support 

  • Supports resource-management activities by coordinating staffing updates, project assignments, onboarding activities, and transition requests. 
  • Coordinates resource assignment changes and staffing updates throughout the engagement lifecycle. 
  • Maintains centralized tracking systems for operational and project-related requests. 
  • Assists with workload tracking and prioritization of project support activities. 
  • Escalates issues requiring specialized review and monitors progress through completion. 

Collaboration & Team Support 

  • Supports organizational initiatives by providing administrative, operational, and reporting assistance. 
  • Contributes to process documentation, training materials, and knowledge-sharing efforts. 
  • Builds effective working relationships across departments. 

What do you need to succeed in this role?

 

Educational & Professional Background 

 

  • Associate's degree or equivalent combination of education and experience. 
  • 0–2 years of experience in project administration, business operations, customer support, professional services, financial administration, or related fields. 
  • Recent graduates are encouraged to apply. 
  • Experience supporting cross-functional teams and administrative processes preferred. 
  • Familiarity with Professional Services operations and project lifecycles preferred. 
  • Experience with Oracle ERP or other enterprise management systems preferred. 
  • Proficient in Microsoft Excel and Microsoft Office applications. 
  • Ability to review, organize, and maintain large volumes of project-related information. 
  • Strong analytical and problem-solving skills with attention to detail. 
  • Capable of managing multiple tasks and competing priorities in a fast-paced environment. 
  • Strong written and verbal communication skills. 
  • Ability to effectively coordinate activities across multiple departments and stakeholders. 
  • Excellent organizational and time-management skills. 
  • Demonstrates professionalism, adaptability, and customer-service orientation. 

 

 

In compliance with this state’s pay transparency laws, the midpoint of the hourly range for this role is $29. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
