The part time HR Compliance Specialist is primarily responsible for managing immigration cases and I-9 compliance activities. This part time role will focus on partnering with Legal, HRIT and HR Operations team to ensure operational processes and system setups are in place to support these activities and will assess opportunities for process improvement, along with the establishment of controls and reporting as needed.

Additional primary areas of focus for this role will be the compliance poster program, and compliance training.

Primary Duties and Responsibilities

· Manage all immigration cases (documentation, employee verifications, employee communications) in partnership with internal Legal department and external counsel, as appropriate.

· Serve as the primary point of contact for I-9 management and I-9 reverification requirements

· Review HR Compliance training reports on a weekly basis and determine escalation needs with HR Operations and HR Managers based on non-compliance.

· Manage the compliance poster program across Shutterfly companies and maintain physical poster addresses and online link locations.

· Research new regulations and statutory requirements and their application to the business. Provide HR documentation and training, and communication templates to support the delivery of key messaging to all impacted populations.

· Determine, in partnership with HRIT and HR Operations, the system setup(s) needed to implement new or updated requirements. Ensure setup is completed, tested, and achieves the expected results

· Develop action plans and timing for assigned work, identify associated risks and dependencies, and ensure effective and timely communication with internal stakeholders regarding project timelines, planned changes and impacts.

· Architect, in partnership with HR Analysts, audit reports and compliance activity controls.

· Respond to audit requests, as needed.

· Serve as a backup to adjudicate background checks for Shutterfly Lifetouch, LLC and Shutterfly, LLC.

· Serve as the escalation point for compliance related questions that are received in the HR Compliance or HR Operations inbox.

Education

· Bachelor's Degree in Human Resources, Business Management or similar field; or equivalent related experience

· PHR or SPHR Certification and/or SHRM-CP or SHRM-SCP; preferred

Experience

· Minimum of 2+ years of Human Resources experience required
