Job Overview     
The Workplace Culture and Office Coordinator is a pivotal role at the heart of Shorelight’s corporate operations. He/She/They is/are the creative force managing our corporate headquarters and infusing energy into our workplace. As the face of Shorelight, the Workplace Culture and Office Coordinator independently drives high-quality decisions, ensuring our office runs at peak efficiency and fosters an environment that inspires collaboration. This role is crucial in providing global support and working collaboratively across the organization.  He/She/They is/are instrumental in helping to shape our dynamic culture and ensure that our workplace operations are best in class.  This role reports to the Assistant Director, HR Operations.     
      
The Workplace Culture and Office Coordinator is a creative, high-energy team player with exceptional interpersonal skills and a passion for customer service. He/She/They thrive(s) on being the face of an organization, bring(s) detail-oriented organization, and has/have strong communications skills. The ability to multitask, adapt to shifting priorities, and engage with diverse personalities is key. Creative problem-solving is a skill and way of life for this role.     
     
Essential Functions     
Facilities Management     
  • Manage the reception desk and welcoming visitors as the vibrant face of Shorelight
  • Be the main point of contact for workplace experiences and related inquiries, proactively cultivating connections with team members, and ensuring a top-notch, inviting office space
  • Maintain public spaces that create an efficienct and aesthetically pleasing environment
  • Oversee conference room reservations and maintain general tidiness
  • Mail time-sensitive documents and packages, manage FedEx accounts, and distribute mail to team members with efficiency
  • Manage all catering requests enhancing the employee experience
  • Collaborate monthly with the Senior Executive Assistant to orchestrate creative, high-level meetings
  • Purchase office supplies with a discerning eye and maintain an organized supply area
  • Coordinate operational aspects of new hire orientation, showcasing the organization’s vibrant culture
  • Use the invoice system to pay, reconcile, and approve facilities-related invoices
     
Corporate and Culture Support     
  • Maintain the Shorelight Master Calendar, ensuring all important meetings and events are communicated to the broader employee base
  • Manage the corporate office’s hybrid work schedule and drive in-office culture
  • Actively partner with Employee Resource Groups’ leaders to coordinate events that foster a sense of community and belonging; host the Annual Shorelight Committee Fair
  • Collaborate with teams to plan and host creative, memorable corporate on-site events, quarterly gatherings, Summer Outings, and Holiday Parties
     
Security     
  • Comply with Shorelight Written Information Security Policy, and all other Shorelight Information Security Policies and Procedures
  • Take responsibility for any Shorelight assets assigned to you
  • Promptly report any security events, incidents, or weaknesses to Shorelight Security
     
Minimum Qualifications     
  • 3+ years relevant working experience in a professional office, hospitality or retail environment
  • Excellent telephone conduct and a warm, engaging demeanor
  • Demonstrated experience with Microsoft Office Suite
  • Eligibility to work in the United States without sponsorship
  • This is an in-office role with the expectation of 4-5 days per week in the Boston office (located in the Seaport)
     
Preferred Qualifications     
  • Bachelor’s degree
  • 1+ years experience with event management
  • Experience managing projects end-to-end
