The Receptionist’s role supports our business by providing a positive patient experience at check-in and the completion of administrative tasks. The primary focus of the Receptionist is to greet patients either in-person or by phone, maintain patient schedules and files, and always protect patient and employee confidentiality Assists physicians with examinations, procedures, and other processes related to direct patient care.

  • Greet patients and visitors in a respectful, pleasant manner, using eye contact immediately upon entering the center.
  • Friendly and courteous when interacting with patients and co-workers.
  • Check patients in and create visit appointments in the scheduling software, distribute and verify patient demographics, update patient profiles in the system, collect appropriate co-pays, and ensure co-pay is documented appropriately.
  • Verify and update any patient personal and insurance information.
  • Verify any personal information with the patient while being mindful of HIPAA regulations.
  • Keep patients informed of appointment delays.
  • Must be able to remain professional and personable when addressing/handling a patient concern/complaint.
  • Schedule follow-up appointments as needed.
  • Confirm patient availability for scheduled appointments according to the office policy.
  • Reschedule patients when any change in the physician’s schedule occurs.
  • Handle all incoming telephone calls, exercise judgment as to the urgency or other nature of the calls and direct them to appropriate personnel.
  • Responsible for money received and balancing daily funds through the banking system.
  • Maintain a clean and organized front office, and keep all supplies fully stocked.
  • Comply with all safety guidelines.
  • Verify patients’ authorization or eligibility as required per individual insurance carrier at least 2 days prior to scheduled appointment.
  • Other duties as assigned.




Required Qualifications: 

  • High School diploma or equivalent certification required.
  • Medical Assistant Certificate or CPR Certification preferred.
  • 0-6 months’ experience in a medical office required.
  • 2-3 years of experience in a medical office preferred.


Preferred Qualifications: 

  • Bilingual Eng/Spanish
  • Knowledge of HIPPA regulations.
  • Knowledge of OSHA and Cal-OSHA safety regulations.
  • Excellent written and verbal communication skills.
  • High level of confidentiality.
  • Thorough and organized with patient care and file maintenance.
  • Must be able to maintain a calm manner and patience when working with patients, employees, and physicians.
  • Must display a high level of customer service.
  • Must be able to work well in a team environment.
