Job Description:
We are seeking a dedicated, detail-oriented, and compassionate Medical Receptionist to join our growing healthcare team. As a Medical Receptionist, you are the first point of contact for our patients, setting the tone for their experience with us. The ideal candidate will be personable, organized, and committed to ensuring smooth clinic operations while providing outstanding customer service.

- Greet and welcome patients as they arrive at the clinic.
- Answer incoming calls, manage voicemails, and relay messages accurately.
- Schedule, reschedule, or cancel appointments as needed.
- Maintain and update electronic patient records.
- Handle billing inquiries, process payments, and assist with insurance claims.
- Coordinate with medical staff to ensure timely patient flow.
- Provide general administrative support, such as copying, faxing, and filing.
- Ensure the reception area remains clean, organized, and welcoming.
- Assist patients with queries regarding treatments, services, and clinic policies.
- Adhere to HIPAA and patient confidentiality regulations at all times.
- Other duties an assigned.
Qualifications:
- Bilingual - Spanish
- High school diploma or equivalent. Additional certifications or courses in Medical Administration are a plus.
- Previous experience in a medical office or reception role is preferred.
- Familiarity with electronic health record (EHR) systems.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and the ability to multitask.
- Empathy and a strong commitment to patient care.
Competencies & Success Factors
- Knowledge of medical terminology and HIPPA regulation.
- Knowledge of OSHA and Cal-OSHA safety and hazard regulations.
- Experience in providing patient care to newborns, children, adolescents, and adults.
- Must have excellent written and verbal communication skills.
- Must be able to maintain a high level of confidentiality.
- Thorough and organized with patient care and file maintenance.
- Must be able to maintain a calm manner and patience when working with patients, employees, and physicians.
- Must display a high level of customer service.
- Must be able to work well in a team environment.
- Adhere to all company policy and procedures.
