We are currently seeking a dedicated and organized New Patient Coordinator to join our team and ensure a smooth and efficient process for incoming referrals and scheduling of new patients.
 
Job Summary:
The New Patient Coordinator will be responsible for managing all aspects of incoming patient referrals and facilitating the scheduling process for new patients. This role plays a vital part in creating a positive first impression for our patients by ensuring a seamless and professional experience from the very beginning.
 
Key Responsibilities:
Referral Management:
  • Receive and process incoming patient referrals from various sources, including primary care physicians and other healthcare providers.
  • Verify referral information, ensuring all necessary details are accurate and complete.
  • Communicate with referring providers to gather any missing or required information.
  • Track referral status and maintain organized records for reporting and follow-up.
Scheduling and Coordination:
  • Contact new patients to schedule appointments, coordinating with their availability and the clinical team's schedule.
  • Provide patients with necessary appointment details, including date, time, location, and any pre-visit instructions.
  • Collaborate with the clinical team to ensure timely and efficient scheduling while prioritizing urgent cases.
  • Handle rescheduling and appointment cancellations as needed.
Patient Communication:
  • Be the initial point of contact for new patients, answering inquiries and providing information about the clinic and the scheduling process.
  • Maintain excellent patient relations, demonstrating empathy and professionalism in all interactions.
  • Keep patients informed of any changes to their appointments and address any concerns or questions they may have.
Administrative Support:
  • Assist with administrative tasks as needed, including maintaining patient records and managing scheduling software and databases.
  • Collaborate with the billing department to ensure insurance verification and authorization processes are completed.
Qualifications:
  • High school diploma or equivalent required; additional healthcare-related education is a plus.
  • Previous experience in a medical office or healthcare setting, with a focus on patient scheduling and coordination.
  • Strong organizational and time management skills, with an attention to detail.
  • Excellent communication skills, both in person and over the phone, with a friendly and compassionate demeanor.
  • Ability to work efficiently in a fast-paced environment and handle multiple tasks simultaneously.
  • Proficiency in using office software applications and scheduling software.
  • Knowledge of medical terminology is a plus.
  • Bilingual (English/Spanish) is required.

Schedule:
M-F start time will be between 8:00 and 8:30, end time will be between 4:30 and 5:00 (standard business hours)
