Senior Administrative Assistant Commercial / Technical Operations

  • Primary support to the EVP, Commercial International, VP, European Operations, two VP’s in Technical Operations (TOPS) and respective teams in Commercial and TOPS
  • Responsible for creating and maintaining the rhythm of the business through proactive planning and execution of administrative support to ensure a seamless experience for leadership and employees within the department
  • Manage and maintain EVP & VP’s complex calendars on a daily, monthly, quarterly, and annual basis to ensure accurate scheduling and prioritization.  May also be responsible for managing calendars of direct staff and broader department, scheduling meetings with key internal and external stakeholders
  • Organize complex and extensive domestic and international travel, which requires assembling travel packets and arranging all travel logistics in collaboration with travel vendors
  • Align with Executive Assistants at Global Headquarters and assist with Europe travel planning for visiting executives and teams
  • Responsible for flawless planning and execution of onsite and offsite meetings, events, and conferences. Manage and coordinate all logistics for the Commercial International and TOPS team to include arranging all meetings and maintaining meeting matrix, hotels, conference registration, catering/AV needs, and dinners
  • Proposes process improvements and collaborates with internal clients and administrative colleagues on process improvement projects as needed
  • Review and update Departmental Org Charts as needed. Prepare announcements for senior leaders and their teams
  • Secondary support to the Office Manager and back-up to other Administrative Assistants
  • Establish and execute administrative procedures for the team staying within corporate policy
  • Go-to-person for questions regarding department and corporate procedure
  • Collaborate with other administrative staff to support department and/or company-wide events and various other initiatives as needed
  • May monitor budgets (for specific themes) and manage expenses in compliance with company policy; review and approve invoices. Also includes timely preparation of expense reports
  • May facilitate and support European & International Leadership team meetings including creation of minutes, and tracking and following up on action items and deliverables
  • May create, review and edit presentations for meetings as needed
  • Assist with other projects and work as needed and assigned


  • 7+ years in an administrative role supporting senior management in a fast-paced, technology-driven environment
  • Background in Life Sciences (emphasis: Pharmaceuticals and Biotech) preferred
  • College degree preferred but will consider high school diploma with comparable work experience
  • Ability to apply knowledge of the business and integrate into daily tasks to achieve successful outcomes in cross-functional projects and activities
  • Excellent organizational and interpersonal and time management skills are required
  • Well organized, flexible, and enthused by the administrative challenges of supporting an office full of colleagues with diverse backgrounds and working styles
  • Demonstrates and role models confidence, emotional intelligence, and professionalism
  • Ability to pay close attention to detail when working with complex schedules or projects and react with an appropriate sense of urgency to situations or events that require a quick response or turnaround
  • Ability to independently problem-solve to quickly resolve issues to maintain business continuity
  • The ability to maintain a positive attitude with the ability to adapt quickly to changing priorities; must work well under pressure
