POSITION SUMMARY:

The AI Adoption Specialist drives the successful adoption of Microsoft Copilot and other approved AI tools across the organization, serving as a hands-on coach to employees and managers throughout the business. The role is primarily field-based: the majority of time is spent working directly with employees and business units across company facilities, delivering in-person coaching, demonstrations, and real-time problem-solving that build confidence and improve productivity. QUALIFICATIONS AND REQUIREMENTS:

Required

  • Three (3) or more years of experience delivering employee training, teaching/facilitating learning programs, or Organizational Development initiatives. Experience gained in corporate, educational, government, military, nonprofit, or private sector organizations will be considered when it demonstrates transferable skills relevant to the position.
  • Bachelor's degree in Human Resources, Business Administration, Learning & Development, Organizational Development, Education, Communications, Psychology, or a related field. An equivalent combination of education and relevant experience may be considered.
  • Experience designing and delivering instructor-led training programs.
  • Experience facilitating workshops, classroom instruction, webinars, or group presentations.
  • Excellent presentation, facilitation, coaching, and public speaking skills.
  • Ability to explain technical concepts in simple, practical language.
  • Demonstrated ability to quickly learn and apply emerging technologies.
  • Strong interpersonal, analytical, organizational, and problem-solving skills.
  • Working knowledge of Microsoft 365 applications.
  • Ability to adapt and maintain job aids and learning resources.

Preferred

  • Experience using Microsoft Copilot preferred; familiarity with ChatGPT, Claude, or similar AI tools is a plus.
  • AI-related certification (e.g., Microsoft Copilot, Microsoft AI, OpenAI, Anthropic Claude, Google AI, or similar) preferred.
  • Basic understanding of prompt engineering and responsible AI practices.
  • Bilingual (English/Spanish) preferred. 

DUTIES AND RESPONSIBILITIES:

Primary

  • Deliver hands-on, real-time coaching to employees and managers on the practical use of Microsoft Copilot and approved AI tools, including one-on-one and small-group sessions, as well as instructor-led, virtual, and hands-on training such as workshops, demonstrations, and lunch-and-learn sessions.
  • Prepare lesson plans, agendas, and materials for coaching sessions, workshops, and training.
  • Partner with employees and managers to identify opportunities where AI can reduce repetitive work, improve quality, and increase productivity.
  • Identify, document, and share practical AI use cases that can be replicated across departments.
  • Teach employees to write effective prompts and build practical AI workflows for everyday work.
  • Help employees overcome barriers to AI adoption.
  • Partner with department leaders, Human Resources, Information Technology, and Learning & Development to identify AI use cases and support adoption initiatives.
  • Demonstrate AI solutions during team meetings and business discussions.
  • Serve as the primary point of contact for employee questions on Microsoft Copilot and approved AI tools, and provide follow-up coaching after training. Escalate technical issues to Information Technology when appropriate.
  • Maintain and update quick reference guides, prompt libraries, FAQs, and job aids as Copilot capabilities evolve.
  • Support internal communications promoting AI awareness, responsible use, and adoption.
  • Promote the responsible, ethical, and secure use of only company-approved AI tools for business purposes. Identify governance or compliance concerns and escalate them appropriately.
  • Educate employees on company AI policies, data privacy, confidentiality standards, and appropriate AI usage, and reinforce governance standards during training and coaching.
  • Monitor adoption and give leadership insights and recommendations to increase AI adoption and business value.

Secondary:

  • Stay current on Copilot enhancements and emerging AI technologies, and research best practices in AI adoption and workplace learning.
  • Pursue ongoing professional development on AI technologies and company-approved tools.
  • Collect and summarize employee feedback to refine training materials and coaching approach.
  • Introduce approved AI tools to new employees as part of onboarding.
  • Assist with testing new AI features or tools before broader rollout.
  • Maintain records of coaching sessions, attendance, and adoption metrics.
  • Monitor industry and vendor trends in workplace AI adoption.
  • Perform other related duties as assigned.

PHYSICAL REQUIREMENTS:

  • The employee is continuously required to sit and use their fingers.

  • The employee is occasionally required to stand and walk.
  • The employee must occasionally lift and/or move up to 10 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • Ability to move throughout company facilities, including offices, warehouses, and terminal areas, to provide in-person coaching and hands-on support.
  • Ability to speak clearly and audibly to conduct live training sessions, workshops, and one-on-one coaching.
  • Ability to view and interact with computer screens and software applications for extended periods during coaching and training delivery.
  • Ability to respond effectively to employee questions during live coaching and support sessions.

SAFETY REQUIREMENTS:

SUPERVISION RECEIVED AND EXERCISED:

  • Reports directly to the Sr. Manager – Talent Acquisition & Employee Development. This position does not have direct supervisory responsibility over other employees.

CONDITIONS:

  • This is an on-site position; all work is performed on-site at company facilities. Remote or hybrid work arrangements are not available.
  • Work is performed both in a climate-controlled indoor office environment and throughout company facilities, including warehouses and terminal/operational areas, to deliver in-person coaching and support.
  • The noise level ranges from moderate in office settings to higher levels in warehouse and terminal areas visited for on-site coaching.
