POSITION SUMMARY:                
This position is responsible for coordinating a variety of HR general functions with an emphasis in compliance. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. QUALIFICATIONS:
Required
  • Experience working in an administrative function at a mid-to-large sized company.
  • Demonstrated progressive responsibilities.
  • Demonstrated ability to foster positive employee relations and partner with management to drive HR and Business initiatives
  • Proficient skills in programs such as MS Word, Excel and Outlook. (must be familiar with if statements, complex formulas, vlookups, countifs, conditional formatting, pivot tables and reports)
  • Must have advanced communication skills in English in order to communicate at different levels throughout the organization and with exterior organizations, candidates, etc.
  • Must be able to speak, read and write in Spanish.
  • Must have the ability to read and write at an Advanced level in a business environment
  • Possess organizational and time management skills with ability to prioritize and be detail oriented
  • Possess high energy level, comfortable performing multifaceted projects in conjunction with normal activities
  • Ability to work independently with limited supervision, multitask and possess strong initiative
  • Ability to establish and maintain effective working relationships with customers, vendors and fellow employees
  • Ability to think logically, establish and follow procedures, instructions and make sound decisions
  • Ability to exercise independent judgment within established systems and procedures
  • Ability to work a flexible schedule, extended hours, holidays, and/or weekends as needed
DUTIES AND RESPONSIBILITIES:
Primary
  • Assists employees with health and wellness benefits program which includes health, dental, short and long term disability, and 401k plan.
  • Prepares employee separation notices and related documentation and conducts exit interviews
  • Manage employee personnel records (prepare new hire files, file all documents, create e-files and pull files as needed)
  • Complete verification of employment requests
  • Prepare spreadsheets for payroll review process and process payroll adjustments, as needed.
  • Stay abreast of and changes in applicable employment laws
  • Assist and support HR and Upper management to ensure that policy is applied consistently
  • Develops human resources solutions by collecting and analyzing information; recommending courses of action.
  • Completes special projects by setting timetables and schedules; conducting research; developing, organizing information, resolving concerns; analyzing time and cost issues.
  • Prepares reports by collecting, analyzing, and summarizing data and to show labor costs and employee productivity trends.
  • Assist coordinating company events
  • Provide coverage in Executive office and Reception as needed
Secondary
  • May assist and/or process payroll (time and attendance).
  • May assist and/or conduct employee relations.
  • May assist and/or administer leave management.
  • May assist with system entries to include new hires, terminations, status changes, deduction orders (i.e. garnishment, etc.), work actions, awards, etc.
  • Perform other additional related duties as assigned
PHYSICAL REQUIREMENTS:
  • While performing the duties of this job, the employee is regularly required to sit and use his/her fingers
  • The employee frequently is required to talk and/or hear
  • The employee is interchangeably required to sit, stand and walk
  • The employee must occasionally lift and/or move up to 10 pounds
  • Ability to communicate (read and write) effectively in a business environment
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral       vision, depth perception, and ability to adjust focus
SAFETY REQUIREMENTS:
  • Report safety hazards

  • Wear protective PPE (Personal Protective Equipment) as instructed or necessary
  • Comply with all company safety policies, procedures, and rules
  • Refuse any unsafe task or operation

SUPERVISION RECEIVED AND EXERCISED:
Reports directly to the HR Regional Manager, and indirectly to the HR Director. This position does not exercise supervision over any position.
CONDITIONS:
  • Indoors office, controlled temperature environment.
  • The noise level in the work environment is usually moderate due to telephones and employees that approach the department.
