POSITION SUMMARY:
Assist and maintain an efficient and profitable Export Division and oversee the day-to-day operations and employees as they handle arrangements for freight shipments exporting from the United States and other countries. Ensure division complies with Federal Regulations, as well as, laws of the foreign countries to achieve the compliant processing of shipments. Maintain effective business relationships with foreign and domestic offices/departments and major accounts. Work and communicate with other members of the Company to create an effective team and represent the company’s interest in any function. Contribute expert knowledge during discussions of critical issues. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. GEOGRAPHIC REGION:

QUALIFICATIONS:
Primary
- At least three (3) to four (4) years of recent experience in the U.S. ocean and air transportation industry. To include export documentation, cargo insurance, and Purchase Order Management.
- Experience with coordinating inland trucking for LCL/FCL (Less/Full Container Load)and cargo consolidation/deconsolidation.
- Two (2) years of supervisory or management experience.
- Experience in preparation of Electronic Export Information (EEI), Ocean Bill of Lading (OBL) documents, airway bills, Purchase Order Management, as well as understanding the process of letter of credit and billing of services rendered to customer and payable associated to the transaction.
- Knowledge of exports documents such as Free Sales Certificate, Certificates of Origin, USDA and Phytosanitary certificates.
- Knowledge of Export Regulations and governing Federal Agencies.
- High school diploma or equivalent.
- Effective analytical and negotiating skills relevant to rating, pricing and bookings.
- Intermediate computer skills (in programs such as Word, Excel and PowerPoint).
- Advanced communications skills in English and Spanish (verbal and written) in a business environment.
- Effective verbal, written and interpersonal communication skills including telephone etiquette and positive customer relations abilities.
- Ability to establish and maintain effective working relationships with customers, vendors and fellow employees and other individuals s/he may have to contact in order to perform her/his job.
- Ability to think logically and follow procedures and instructions
- Strong time management and organizational skills. Must be able to prioritize and be detail oriented.
- Ability to respond to common inquiries regarding the areas and/or countries s/he works with.
- Ability to work with limited supervision, multitask and possess strong initiative.
- Ability to work extended hours, holidays and/or weekends, as needed.
Preferred
- Familiarity with International Commercial Terms (INCOTERMS) and shipping terms.
- Bachelor’s degree in Business Administration, International Business or Logistics. Equivalent training in business and Export trade requirements will be considered in lieu of degree.
DUTIES AND RESPONSIBILITIES:
Primary
- Supervises all the export staff for ocean and air, responsible for coaching, staff development, training and delegating work assignments to export personnel.
- Manages employees’ performance, review work, and set completion dates for department needs.
- Develop and maintain divisional and customer standard operating procedures (SOP) to meet company service expectation and in compliance with Code of Federal Regulations and Export Compliance agencies.
- Train all staff to meet the company’s service and regulatory compliance objectives.
- Maintain training materials and training records to support divisional training.
- Ensures that all Customer communication messages are read and that any and all appropriate action is taken as required.
- Manages and ensures staff are executing PO Management processes and export shipment transactions in a timely and compliant manner.
- Identify problem resolution on delayed and or shipment routing errors and execute alternate routing to meet customer requirements.
- Review systems events, AES dashboards, and all other dashboard related to the operation to ensure user perform the duties adequately and in a timely manner to comply with customers’ needs and regulatory deadlines.
- Review KPI reporting and maintain corrective action conference calls with Customer and respective suppliers.
- Review shipments and transaction profit reporting to identify losses and/or billing errors.
- Consistently review volume reports to assign workload to meet customer requirements and maximum staff productivity.
- Work with Management on workflow enhancement projects.
- Ensure timely billing of all export division services.
- Audit management defined files for regulatory compliance and address corrective measures and user knowledge deficiencies.
- Maintain accurate record keeping of virtual file per transaction as required by law.
- Keep current with government regulations pertaining to international commodities shipments, e.g. hazardous materials, customs, foreign country regulations.
Secondary
- Work with Management and systems division on system export functionality review and enhancements.
- Participates and subscribes to any continuing education that is applicable to Export Regulations and other government agencies. Such knowledge is shared with staff and Customers when required.
- Any other duties assigned as assigned by Vice President.
PHYSICAL REQUIREMENTS:

SUPERVISION RECEIVED AND EXERCISED:
Reports directly to the Export Manager and indirectly to the Director of International Logistics. Exercises supervision over staff in the Export Division and Export Specialized Services Division.
CONDITIONS:
- Indoors office. Exposed to controlled temperature and office environment.
- Exposed to non-controlled temperature and office environment controlled temperature intermittently during the day.
