POSITION SUMMARY:

This position is responsible for overseeing and coordinating daily functions related to the receipt, delivery and record keeping of export and import cargo and will serve as primary contact with new customers and management. QUALIFICATIONS:

Required

 

  • High School Diploma or equivalent
  • Must have a minimum of 5 years of experience in Marine Terminal cargo receiving.
  • Must have a minimum of 1 year of prior data entry experience
  • Must have the ability to read, write, and speak Intermediate English
  • Ability to operate office machines, such as photocopiers and scanners, facsimile machines and voice mail systems.
  • Possess Basic computer skills in programs, in MS Word, Excel & Outlook
  • Ability to process alpha numeric information
  • Ability to work with limited supervision, multi-task, prioritize and have strong initiative
  • Ability to follow procedures and instructions
  • Ability to establish and maintain effective working relationships with fellow employees
  • Must have the ability to think logically, follow procedures, instructions and make sound decisions
  • Must be able to work (flexible hours) long hours including nights, overtime, weekends and holidays

 

DUTIES AND RESPONSIBILITIES:

Primary

  • Perform all functions in accordance with operation and safety guidelines
  • Perform computer system entries and updates for cargo received, delivered, consolidated or manipulated otherwise for all customers of Jacintoport International.
  • Act as primary point of contact to establish cargo receiving and appointment procedures with new Customers.
  • Act as primary point of contact to schedule Import/export appointments with customers for refrigerated and non-refrigerated cargo.
  • Ensures that the equipment and cargo is ready for the scheduled appointment while keeping Steamship Line Management, Jacintoport Management and Terminal Operations Management informed.
  • Oversees TWIC Escort charge processing and supplies daily transactions to Accounting for record keeping.
  • Receiving cargo documents with information received from the Customers carrier for the Receiving Clerks to receive cargo manually.
  • Verify that information received from the Receiving Clerks is accurate and report all discrepancies to the Steamship Line or Customers for resolution which includes notification to Customers and confirming approval to accept Information recorded by Terminal.
  • Act as primary point of contact and maintains communication with Miami Inbound Department in regards to all inbound cargo receipt and deliveries.
  • Maintain communication with Houston Export department on all export receipt and deliveries.
  • Maintain communication between specific terminal departments for special projects by relaying the Customer’s instructions and equipment needs.
  • Maintain a clean work area, free of debris or safety hazards and awareness of surroundings (i.e. vehicles, people, equipment, etc.) at all times
  • Provide guidance with daily functions and procedures for cargo receipt and delivery.

Secondary

  • Oversees the creation and maintenance of the physical files for invoicing and storage/record keeping.
  • Assist cargo Receiving Clerks with problems during the receiving process.
  • Perform scheduled delivery of documentation to the respective departments in the main building for back up work sets.
  • Coordinate weekly mailings of inbound delivery documents to the Miami Inbound department.   
  • Fill in as Receiving Clerks as needed
  • Perform other related tasks as assigned

 

 PHYSICAL REQUIREMENTS:

  • Subject to physical is required along with other tests as applicable
  • The employee is continuously required to use their hands and fingers
  • The employee continuously is required to talk and/or hear
  • The employee is frequently required to sit
  • The employee is frequently required to stand and walk.  
  • The employee must occasionally lift and/or move up to ten (10) pounds
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

SUPERVISION RECEIVED AND EXERCISED:

Receives direct supervision from the GC- Terminal Operations Manager and does not exercise supervision over any other position.

 

CONDITIONS:

  • Indoors office and occasionally outdoors - Exposed to controlled temperatures in an office environment and occasionally exposed to a non controlled environment (outdoors) where they may be exposed to all possible environmental factors such as extreme heat, cold, rain, wind and high humidity during day and night shifts
  • The noise level in the work environment is usually moderate to high
