POSITION SUMMARY:
This position entails overseeing cargo equipment issues for administrative needs, by analyzing costs and overseeing equipment data updating in our company based computer system; while demonstrating the ability to grasp business concepts to gain progressive responsibilities. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. QUALIFICATIONS:
Required
- Two (2) years of recent administrative experience in an office environment to include reporting and processing data.
- High School Diploma or equivalent.
- Intermediate to advanced communications skills in English and Spanish with the ability to read and write effectively in a business environment in order to communicate with out port and domestic offices.
- Intermediate to advance computer skills in programs such as MS Word & Excel.
- Strong organization and time management skills.
- Ability to communicate (read and write) effectively in a business environment.
- Ability to grasp business concepts and gain progressive responsibilities.
- Ability to think logically and follow procedures and instructions.
- Ability to respond to common inquiries relating to the areas assigned.
- Strong analytical and reasoning abilities in order to and analyze equipment logistics.
- Ability to prepare a variety of reports.
- Ability to exercise independent judgment within established systems and procedures.
- Ability to establish and maintain effective working relationships with vendors and fellow employees.
- Ability to respond to common inquiries from departmental managers or subdivisions regarding equipment availability.
- Ability to work independently and with limited supervision.
- Ability to multi-task and possess strong initiative.
- Possess strong organizational and time-management skills with ability to prioritize
- Ability to work extended hours, holidays, and/or weekends as needed.
Preferred
- Experience with ocean transportation equipment or performing logistics functions
- College Degree.
- Equipment Management experience.
- AS400 knowledge or similar transportation software.
DUTIES AND RESPONSIBILITIES:
Primary
- Go over and keep records of equipment costs and receivables of sold equipment.
- Update records in our company computer system (AS400).
- Assist in approving invoices.
- Gather information to be analyzed and prepare reports based on findings.
- Make recommendations to improve processes or reduce cost, based on analyses of cost.
- Assist Equipment Operational team identify key issues to address in their areas.
- Assist with accounting reconciliations between GBA and EQM quarterly.
- Perform routine data analysis to identify, address and follow up on potential issues and duplicated account charges.
- Process M&R Invoices through DST and Depot System.
- Reconcile inventories in our system against stock reports.

SUPERVISION RECEIVED AND EXERCISED:
Receives direct supervision from the Equipment Cost Manager and Equipmeent Management Director. This individual does not exercise supervision over any position.
CONDITIONS:
- Indoors office; exposed to controlled temperature and office environment.
- The noise level in the work environment is usually busy (many phones in open cubicles).
