Summary
SDI Presence is seeking an organized, service-oriented Administrative Assistant – Xchange to support SDI Presence’s role as the Operator of Record of Xchange at the SDI Xchange office. This position is fully on-site and is responsible for the day-to-day management of office operations and coordination of key activities related to the Xchange Apprentice Program, including scheduling apprentice interviews, mentoring apprentices, and supporting program logistics. The role also supports SDI Presence’s presence within Xchange by coordinating community events and onsite engagement activities. The ideal candidate is proactive, dependable, and comfortable in handling a wide variety of tasks in a fast-paced, community-facing environment.

Responsibilities
- Serve as the primary onsite point of contact for the SDI Xchange office, ensuring a welcoming, professional environment for staff, apprentices, and visitors
- Oversee daily office operations, including opening/closing procedures, workspace readiness, and general office organization
- Manage office supplies, inventory, and ordering; maintain shared spaces (conference rooms, reception area, kitchen/common areas)
- Coordinate with building management, vendors, and service providers for maintenance requests, repairs, and deliveries
- Support onsite meeting logistics, including room scheduling, basic setup, and ensuring spaces are clean and functional
- Track and communicate office updates, announcements, and operational needs to relevant stakeholders
- Providing scheduling and onsite support for the facility
- Provide support and oversight for hosting events at our Xchange facility
- Providing necessary support to personnel working out of the Xchange facility
- Provide apprentice oversight and scheduling including with perspective clients
- Direct apprentices to appropriate wrap-around support
- Work may include after-hours events for the apprentice program up to once or twice a week
Xchange Apprentice Program Coordination
Coordinate apprentice talent pipeline management, including:
- Interview scheduling
- Communicating with candidates and internal interview teams
- Managing calendars and confirming prospective candidate availability
- Sending interview confirmations, reminders, and follow-up messages
- Ensuring interview spaces and technology are prepared onsite or virtually
- Assist with apprentice program logistics as needed, including onboarding coordination and onsite readiness for apprentice start dates
- Maintain accurate interview scheduling records and program tracking documents
- Provide a positive candidate experience by ensuring timely communication and a professional onsite process
- Provide onsite mentoring and day-to-day support to apprentices participating in the Xchange Apprentice Program
- Serve as a consistent point of contact for apprentice questions, guidance, and escalation of concerns as needed
- Encourage professional development, accountability, and workplace readiness through coaching and ongoing check-ins
- Coordinate with SDI Presence leaders and program stakeholders to support apprentice engagement, performance, and success
- Coordinate SDI Presence community events hosted at or in partnership with Xchange, including planning, scheduling, and onsite support
- Assist with event logistics such as space setup, attendee coordination, materials preparation, and vendor/community partner communication
- Support a positive and professional SDI Presence relationship within the Xchange community through relationship-building and engagement
- Help track event participation, feedback, and follow-up actions to support continuous improvement
Administrative Support & General Duties
- Provide general administrative support for SDI Presence’s Xchange operations, including light data entry, document organization, and coordination tasks
- Assist with special projects and events as needed (internal meetings, apprentice-related activities, community or partner engagements)
- Perform other duties as assigned to support the success of the office and the Xchange program
Requirements
- High school diploma or equivalent required; Associate degree or additional technical training is a plus
- 2+ years of experience in administrative support, coordination roles, or equivalent experience
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent communication and interpersonal skills; comfortable interacting with candidates, apprentices, staff, and visitors
- Experience scheduling interviews or coordinating calendars (Outlook/Google Calendar or similar tools)
- Proficiency with Microsoft Office (Outlook, Word, Excel, Teams) and/or Google Workspace.
- Ability to work onsite reliably and maintain a consistent schedule
- Technology industry experience
Preferred
- Experience supporting workforce development, apprenticeship programs, HR coordination, recruiting support, or mentoring/coaching
- Event coordination experience (community events, meetings, vendor coordination).
- Familiarity with professional office environments and customer service best practices.
- Professional, friendly, and approachable presence
- Strong attention to detail and follow-through
- Ability to anticipate needs and solve problems independently
- Discretion and professionalism when handling sensitive information
- Strong interpersonal skills and ability to mentor and support early-career talent
- Flexible mindset and willingness to take on “other duties as needed”
- This is an onsite role requiring regular presence at the SDI Xchange office
- Ability to lift and move light office supplies (up to approximately 25 lbs.)
- Frequent standing, walking, and occasional setup of meeting spaces
