What you will be doing:
 
The Practice Assistant performs administrative support tasks for Medical Leadership and operations team at assigned facilities. The work includes a broad range of complex responsibilities involving confidential and/or technical information, i.e., compiling reports, furnishing information, scheduling meetings, preparing agendas, responding to routine correspondence, and responding to visitors and telephone calls. Must exercise considerable judgment and discretion in completing assignments.
  • Screen and direct all calls coming into the office
  • Coordinate medical leadership schedule of appointments, meetings, etc.
  • Transcription, general correspondence as needed
  • Organize and assist in coordinating socials, meetings, conference calls and other special events
  • Responsible for completing daily volume reports and trends as deeded necessary by on-site Medical Director(s)
  • Place reminder calls to physicians and key players at the hospitals for monthly and quarterly meetings and conference calls
  • Coordinate and record all clinician CME and other required documents by the company and/or the facility
  • Record minutes for meetings and conference calls
  • Establish and maintain files both hard copy and electronically
  • Screen, re-direct, and assist caller’s patient complaints, physicians with questions, physician payroll errors, hospitals requesting information
  • Assist Client Services Vice Presidents with various mail outs, phone calls, etc. for the facility
  • Performs general duties such as typing, operating office machines, ordering supplies and materials, etc.
  • Update facility contacts and account/hospital team in Salesforce
  • Create and maintain graphs and spreadsheets as needed to analyze and report data.
  • Prepare reports/letter in Microsoft Word, Excel, and PowerPoint.
  • Assists with any special projects and other duties that arise.
  • Run reports and data from the EMR.
  • Any other duties deemed necessary by management.
Who/What we are looking for:
  • You have a minimum of four years of applicable healthcare administrative experience. A combination of education/experience may be substituted with education being substituted for by experience on a two-for-one-year basis.
  • High School Diploma with two to three years post-high school education/training.
  • Strong organizational skills
  • Ability to communicate effectively with all levels in the organization including executive management and fellow employees
  • Must have an excellent working knowledge of office equipment, especially computers and software programs (preferably Microsoft Word, Excel, Outlook, and PowerPoint). Skills must be exceptional because of the type/manner of material prepared and the recipients of the material.
  • Must have the clerical perception to proofread typing
  • Salary Range: $25 - $27/HR
