We have an exciting opportunity to join the Pittsfield, MA team as an Administrative AssistantThis position is responsible for providing direct administrative services for the Government Mill facility as well as additional administrative support to the operations leadership team, including the Mill Manager. This position is responsible for gathering and tracking information related to production, operations, and personnel.   This role reports to the Mill Manager. 

Schedule:  Full Time / 40 hours, Monday - Friday, 7a-3:30p

Responsibilities:
  • Monitor the payroll system, including verifying employees’ timecards are submitted bi-weekly, troubleshoot timecard issues, new hire set up, and track time off balances in the timekeeping system.
  • Assist Human Resources with managing communications related to benefits, policies, employment updates and training.
  • Provide direct administrative support to the Mill Manager.
  • Manage external vendors such as copier supplies and service, water delivery, vending machine, pest control and taxi.
  • Assign, activate and deactivate badges as needed.
  • Greet guests, vendors and visitors.  Monitor on-site external cameras.
  • Other administrative duties including document preparation, power point presentations, communication board announcements, memos, meeting minutes, special event planning, meal planning, projects and team wide communications.
  • Using Oracle, close jobs, purchase order processing, order supplies, track inventory.
  • Update safety metrics, hazard ID’s and numbers in Velocity.
  • Provide as backup to AP2 Administrative Assistant.
  • Provide support to the Sales Business Support Coordinator.
Job Requirements:
  • Minimum High School Diploma or equivalent.  Associate degree in Business or related discipline preferred.
  • Three to five years’ demonstrated experience performing high accuracy administrative duties in a fast-paced office environment.
  • Prior customer service experience preferably supporting technical products in a global markets.
  • Demonstrated competence with a variety of computer software programs including Microsoft Suite, Velocity, ADP, and Oracle.  Demonstrated ability working with PowerPoint.
