Position at SBM Management

SBM Management is currently looking to hire a Time & Attendance Support Coordinator to join their team! As a Time & Attendance Support Coordinator, you will be responsible for facilitating smooth transitions during the implementation of new customers to SBM, offboarding existing clients from the SBM portfolio, and supporting day-to-day time & attendance front line operations. You will play a crucial role in ensuring accuracy, compliance, and efficiency throughout the transition period, ensuring new sites are supported during new employee orientations, time & attendance devices are installed and operational, provide training and guidance on SBM Time & Attendance and Payroll policies and procedures to new employees and site managers. This position requires a keen attention to detail, effective communication skills, a willingness to provide support any capacity as requested, and to think on quickly on their feet as local conditions require. 

Responsibilities

  • Project Planning: Collaborate with stakeholders to develop a comprehensive transition plan, including timelines, milestones, and resource allocation to meet departmental expectations and company goals. 
    Keep all transition trackers related to payroll updated and accurate, ensuring timely and efficient tracking of progress and deliverables. 
  • Data Analysis: Review existing payroll data and systems to identify potential challenges, discrepancies, or areas for improvement with regards to transitions, create and manage transition documents. Collaborate with Payroll Team to generate and distribute pre-check reports to new sites for the first 30 days, facilitating analysis of any payroll errors and implementing corrective actions, as necessary. 
  • Process Optimization: Streamline payroll processes to enhance efficiency, accuracy, and compliance with relevant regulations and policies. Identify problems in operations process and resolve them in quickly and timely manner. Assist in the evaluation of current operational performance and provide strategic plan for improvements. Conduct regular audits and assessments of payroll processes and procedures to identify areas for improvement and implement necessary changes to enhance efficiency and accuracy. 
  • Documentation: Create and maintain transition documentation related to payroll and time management systems, including standard operating procedures (SOPs), process maps, and training materials. Maintain clear and accurate operations documents/procedures for reference purposes. 
  • Training and Support: Provide payroll training and support to new site employees, managers, and other relevant stakeholders to ensure a smooth transition to new systems or processes, including time collection and kiosk deployment and installation. Assist managers in day-to-day coordination and management of business operational activities during the transition period. Provide direction and guidance to internal teams to achieve performance targets. Support transition teams in all aspects of payroll transition, ensuring smooth and effective coordination between different departments. Track and manage distribution of Focus Cards for New Hire Orientation, ensuring accurate entry into the payroll system before the first payroll cycle. Assist in the development and implementation of training programs for employees on payroll-related compliance guidelines, ensuring understanding and adherence to company standards and procedures. 
  • Issue Resolution: Identify and resolve issues or discrepancies related to payroll data, systems, or processes in a timely manner. Follow-up on open deliverables and drive to closure or escalate as required. 
  • Communication: Communicate effectively with internal teams, external vendors, and other stakeholders to provide updates on transition progress, address concerns, and facilitate collaboration. Build and maintain strong customer relationships through regular meetings and communications. Coordinate and moderate meetings with multiple stakeholders. Coordinate with all stakeholders to ensure timely and accurate dissemination of Important Payroll Information communication to new sites, transitional managers, and HR Coordinators prior to go-live. Serve as the primary point of contact for payroll-related inquiries and issue resolution during the transition phase, liaising between transition teams, departments, and external stakeholders as needed. 
  • Compliance: Ensure compliance with relevant laws, regulations, corporate policies, and industry standards throughout the transition process. Determine and enforce employee and manager training on compliance guidelines, requirements, and standards related to payroll. 
  • Continuous Improvement: Continuously assess and improve transition related payroll processes, systems, and controls to optimize efficiency, accuracy, and compliance.

Qualifications

  • Minimum 5 Years of Experience in payroll in a fast-paced, multi-state, demanding environment, and previous experience with UKG Payroll preferred. 
  • Associate degree preferred. 
  • May be required to have a valid driver’s license. 
  • CPP or FPC designation preferred. 
  • Excellent written and verbal communication skills; strong organizational and analytical skills 
  • Must be proficient working with larger payroll systems that integrate or interface with other systems. 
  • Intermediate to high proficiency in Microsoft applications 
  • Comprehensive knowledge of wage and hour laws, garnishment laws, and taxability of wages 
  • At least 70% travel time required to provide onsite support as requested. 

Compensation: $70,000 - $75,000 per year

Shift: Full-time
