Business Support Administrator (SO2)
Description
1. Sales Administration |
· Supporting daily sales requirements within the quote to cash process (creating Salesforce records, chasing vendor etc.) · Creating quotes for the sales team · Requesting quotes from vendors · Assist with the processing of renewals (creating quotes and monitoring renewal mailbox) · Assist with vendor / customer correspondence by monitoring the shared delivery mailbox · Submit deal registrations to vendors |
2. Order Processing |
· Processing orders with vendors, reviewing and verifying relevant documents specific to the order · Raising internal PO’s and communicating them to accounts · Manage the order process at each stage with sales rep, customers, and vendors · Ensuring orders are accurately processed in a timely manner · Confirming services have been correctly provisioned with vendor – chasing up any overdue orders |
3. Customer Experience |
· Outlook In-Box Management - Checking and maintaining shared mailboxes and personal inbox ensuring any items that require attention are effectively responded to. · Client database management · Process cancellation requests and communicate them effectively to suppliers and our internal accounts team to confirm termination of clients. |
4. Service Delivery Support |
· Support the Assurance, Consulting & Engineering teams by assisting with project planning and resource scheduling · With guidance from the service managers, ensure optimal resource utilization, project execution and budgetary targets are met · Act as customer relationship support for professional service functions, ensuring customer enquiries are promptly addressed · Attend customer meetings as required to take minutes and actions · Monitor ongoing projects ensuring their progress is kept up to date and identify any potential opportunities or risks · Produce reports as needed demonstrating project health, liability, and resource utilization · Be a super user for our internal project management application |
5. Data Maintenance |
· Ensure Contacts and Accounts are accurately recorded · Maintain Account & Opportunity ownership · Maintain files and record management |
· Data entry · Perform other duties and responsibilities as required |

- Duties performed within agreed SLAs (Service Level Agreements)
- High level of quality ensuring business process are followed and accurately executed
- Ensure compliance with general work practices
- Demonstrate working in busy and ever-changing environment with the ability to remain flexible & meet department deadlines
Professional skills, qualifications, and experience
- Previous experience in an administration assistant or business support role within a commercial environment
- Prior experience in a project support position
- Ability to drive project-based work and to manage tasks, schedules, deliverables, budget and project risk
- You have prior technical experience, ideally with knowledge and understanding of the Salesforce.com platform, eco-system, and best practices
- The Salesforce Administrator Certification is desirable but not essential
- Proficiency in the use of the Microsoft Suite including Excel, Word, PowerPoint, and Outlook
- Proven track record of compliance with policies and procedures
- Strong commercial acumen as well as financial and analytical skills
