Summary/Objective: The Executive Coordinator is responsible for providing administrative and coordination support to the CTO. This role helps manage schedules, coordinate business travel and supplier visits, arrange hotel and transportation needs, prepare and record meetings, and ensure clear and timely communication between the CTO, internal teams, and external suppliers. The position requires strong organization, communication, follow-up, and attention to detail to support the CTO’s daily work and business activities efficiently.
Essential Functions/ Responsibilities:
- Manage the CTO’s calendar, including meeting scheduling, agenda coordination, reminders, and schedule conflict follow-up.
- Coordinate business travel arrangements, including transportation, hotel booking, itinerary preparation, and related logistics.
- Support and accompany supplier visits as needed, including visit preparation, reception coordination, on-site support, and follow-up communication.
- Arrange meeting rooms, materials, visitor access, meals, and other administrative requirements for internal and external meetings.
- Prepare meeting agendas, take meeting minutes, summarize key decisions and action items, and follow up on assigned tasks until closure.
- Collect, organize, and communicate information between the CTO, internal departments, suppliers, and other stakeholders.
- Maintain records, reports, contact lists, travel documents, meeting notes, and other files in an organized and confidential manner.
- Assist in preparing presentations, reports, summaries, and basic data tracking files as requested by the CTO.
- Provide timely reminders and follow-up on deadlines, action items, travel plans, supplier visit plans, and management requests.
- Support other coordination and administrative tasks assigned by the CTO based on business needs.

Required/Preferred Experience:
- 2+ years of experience in assistant, administrative support, project coordination, customer service, supplier coordination, or related role is preferred.
- Strong organizational skills with the ability to manage schedules, prioritize tasks, and follow up on multiple items at the same time.
- Good communication and coordination skills, with the ability to interact professionally with internal teams, managers, suppliers, and visitors.
- Detail-oriented, responsible, proactive, and able to handle confidential information appropriately.
- Proficient in MS Office, especially Outlook, Excel, PowerPoint, Word, and Teams.
- Good written and verbal communication skills in Mandarin Chinese and English.
- Willingness to travel locally or accompany supplier visits when required.
Education:
- Bachelor’s degree or above in Business Administration, English, Engineering Management, Supply Chain, or related discipline.
- Administrative, secretary, project coordination, or business communication training is preferred.
Training required:
- On the job training as appropriate.
