General Ledger Accountant

On Site Position

 

JOB ANNOUNCEMENT

Sacred Heart Community Service (SHCS), located in San Jose, CA, is looking for a Full-Time, General Ledger (GL) Accountant to join our Finance team. POSITION SUMMARY:

 

The General Ledger Accountant supports a wide range of accounting functions including Accounts Payable, Fixed Assets, Prepaids, Cash and other General Ledger entriesIn addition, the role will oversee the housing payment process for our Homelessness Prevention Services (HPS) teams.  The ability to evaluate processes and suggest improvements is expected.  NetSuite, Excel and payment processors such as RAMP are the primary tools used in the performance of job responsibilities.  This individual is expected to learn the Chart of Accounts and properly code transactions, review all reimbursement documentation submitted to ensure compliance with internal policies and procedures, correctly enter journal entries, prepare account reconciliations as needed, solve problems, and follow up with vendors and others. This position requires the ability to maintain confidentiality and keep accurate and meticulous records.

 

RESPONSIBILITIES AND DUTIES:

 

Accounts Payable (50-60%)

  • Executes all aspects of Accounts Payable including but not limited to General Ledger coding, compliance with internal policies and procedures, vendor maintenance in the ERP, check writing, reconciliation of vendor statements, and electronic filing.
  • Receives and verifies proper execution of employee expense reports through the procurement card system.
  • Facilitates payment of vendors, which may include verification of federal ID number, review supporting documentation, and resolving discrepancies.
  • Support for the annual audit through preparation of schedules, reconciliations, filing, and photocopying documents.
  • Assists with accounting records and ledgers, reconciling monthly statements and transactions as assigned.
  • Special projects and other related duties as assigned.

 

Prepaids and Fixed Assets (5-10%)

  • Reviews vouchered transactions for inclusion as either prepaid expenses or fixed assets.
  • Sets up recurring amortization or depreciation schedules into the ERP.
  • Reviews monthly depreciation and amortization entries for reasonableness
  • Reconciles accounts to the General Ledger

 

Cash account reconciliation (5-10%)

  • Reconciles the bank accounts to the General Ledger ensuring all transactions are properly recorded monthly
  • Reconciles endowment account to the broker statements monthly

 

Housing payments processing for HPS (15-20%)

  • Reviews payment requests from HPS team daily to ensure proper documentation and approval
  • Inputs vouchers for housing payments into the ERP and investigates any questions from Finance approvers
  • Processes payments via check or electronic payment through the ERP or bank, preparing documentation for approval by signers.
  • Maintains documentation package for each payment and providers reporting for HPS Finance Business Partner for invoicing.

 

Evaluation and Learning (10%-20%)

        Supports continuous learning, evaluation, and improvement within the Finance team.

        Supports the planning of and participates in agency-wide programs, events, and outreach efforts.

        Supports the planning of and attends staff meetings, retreats, and other team and agency events.

        Performs other duties as assigned.

 

REQUIRED QUALIFICATIONS AND EXPERIENCE:

        1 year work experience as G/L Accountant or a Bachelor’s degree in Accounting, Business or a related field.

        Must be able to learn accounting software systems.

        Excellent organizational skills and proven ability to meet deadlines.

        Proficient in Microsoft Office Suite or related programs – emphasis in Excel.

        The position requires prolonged computer use for up to 6 hours per day.

 

PREFERRED QUALIFICATIONS AND EXPERIENCE:  

        Experience with NetSuite is greatly preferred.

        Bilingual in English/Spanish or English/Vietnamese.

 

REPORTING RELATIONSHIP:  

The GL Accountant position is non-exempt, full-time and reports to the Senior Director of Finance Operations.

 

Compensation
