JOB ANNOUNCEMENT & DESCRIPTION

Sacred Heart Community Service (SHCS), located in San José, CA, is looking for a community-oriented Volunteer Coordinator to manage the organization’s community outreach and engagement efforts. This position is a member of the team that welcomes, orients, and engages community members into our programs and opportunities for involvement. The position is Sacred Heart’s face to community volunteers. The ideal candidate will be self-directed, flexible, and exhibit strong communication, efficient administrative and multi-tasking skills, excellent customer service skills.  Importantly, they must have a passion for our mission – to build a community free from poverty. For more than 60 years, SHCS has been one of the leading institutions addressing poverty in Santa Clara County through a strategy that combines meeting basic needs, offering tools for self-sufficiency, and providing opportunities for the wider community to get involved and take action for systemic change.

 

The Volunteer Coordinator supports the engagement of hundreds of community members each day.  The position supports volunteer programs that inspire community members and organizations to join in the vital work of the organization; and guides volunteers as they engage with other members to ensure everyone is treated with dignity, compassion, and respect. The position interacts frequently with internal programs and provides general support to the Community Resource Development team.

 

RESPONSIBILITIES AND DUTIES

Program Coordination (55%-65%)

        Staff the Volunteer Reception Desk weekly maintaining a friendly and welcoming environment.

        Manage the volunteer database documenting all scheduling and recruitment activities/events and updating information about volunteer’s abilities, skills, availability, and completed assignments.

        Produce schedules for everyday activities and assign appropriate skilled people for events.

        Support the development, implementation, and reporting of member databases including registration, updates, survey processes.

        Maintain interagency communications for the Volunteer Office.

       Engage and trains volunteers, including additional volunteer training when required.

       Recruit volunteers through various techniques (databases, e-mail, social media etc.)

       Coordinate teams of volunteers for large-scale actions.

       Build relationships with and communicate frequently with volunteers ensuring they are satisfied and well-placed.

       Ensure volunteer information is updated and volunteer engagement is tracked in the database (i.e. log-in processes, hour tracking, etc.).

 

 

Volunteer Orientations (20-25%)

        Staff Volunteer Orientations

        Update orientation presentation based on SHCS actions and programs.

        Maintains communication with SHCS programs for volunteer recruitment.

 

 

Leadership (20-25%)

        Represents Volunteer Office at agency wide event planning sessions.

        Supports program areas and agency special events as needed.  

        Maintain open communication with warehouse staff to ensure calendar is updated and volunteers are receiving a positive volunteer experience in the pantry, clothes closet, and donation station.

        Ensure the purpose of the organization and its actions is clearly communicated.

        Performs other duties as assigned.

REQUIRED QUALIFICATIONS AND/OR EXPERIENCE EQUIVALENT:

        Strong commitment to our vision of a community united to ensure that every child and adult is free from poverty.

        Computer literacy with proficiency in database systems, Microsoft or Google Suite.

        Ability to work flexibly under pressure in a fast-paced and sometimes chaotic environment.

        Outstanding customer service skills.

        Possesses the ability to work independently and creatively and is detail oriented.

        Works collaboratively in a team environment and to work independently with limited supervision when necessary.

        Superior verbal, written, and presentation skills.

        Bilingual/Biliterate, English/Spanish.

        Detail oriented, ability to multitask, provide quick responses and highly organized.

        A bachelor’s degree or in human services, social work, or 2-3 years of equivalent work experience in customer service, volunteer coordination, or training.

        The position requires computer use and maintaining a stationary position for 6-8 hours per day.

        Must be able to move boxes weighing up to 25 pounds across the office for various needs.

        Occasional weekend or evening work may be required.

 

PREFERRED QUALIFICATIONS AND/OR EXPERIENCE EQUIVALENT:

        Experience with Salesforce Databases.

 

REPORTING RELATIONSHIP:

The Volunteer Coordinator position reports to the Volunteer Office Manager.

COMPENSATION:
