Description

Our Manhattan, NY office is seeking candidates for an Administrative Assistant. This full-time position will provide administrative assistance to a team of several professional staff members in the Tax and Audit department. This individual will also support the recruiting efforts of the Manhattan office.
 
This highly demanding position requires a positive, self-motivated individual with superior organizational skills, the ability to work within deadlines, and the capacity to execute multiple tasks simultaneously to ensure a high level of professional standards. This is a dynamic role that regularly goes beyond administrative tasks, including coordinating and attending campus career fairs in addition to other Firm programs.

What you will do:

Administrative Assistant Duties:

  • Format and proofread financial statement reports; prepare signed, secured PDFs
  • Process client PDF copies of Corporate, Partnership, and Individual income tax returns
  • Copy documents, send mail receipt and delivery notices
  • Process incoming and outgoing Federal Express, certified mail, and other courier packages
  • Word processing duties, including composing memos, letters, emails, and other correspondence with little or no guidance
  • Scan forms, reports, and correspondence into a PDF format
  • Set up client and organizational folders on the company’s network system
  • Maintain client databases, including the update of contact information, setup of new projects, and maintenance of tax due lists and printing of such reports
  • Perform internet research, as needed
  • Provide professional telephone support, including answering, directing, and screening calls
  • Maintain electronic and paper filing system
  • Preparation of client invoices and communication related to billing and collections
  • Provide back-up support for other Administrative Assistants in the company
  • Perform other related duties as required

Campus Recruiting Support Duties:

  • Work closely with the People Engagement Promoters Team (“PEP Team”) to support the campus recruiting efforts of the Manhattan office
  • Attend campus recruiting events to promote the Firm in a professional, enthusiastic manner
  • Assist with staffing these recruiting events with professionals from the Manhattan office
  • Securely and accurately maintain the inventory of all PEP-provided recruiting materials (giveaways, banners, nametags, clipboards, etc.)
  • Provide PEP Team with post-event items, such as photos and resumes, on a timely basis
  • Support PEP Team with coordination of interviews as requested by the hiring team in Manhattan

Desired Skills/Expectations: 

  • 2-3 years in an Administrative Assistant position
  • Strong written, verbal, interpersonal, and presentation communication skills
  • Excellent organization, attention to detail, follow-through, and time management
  • Ability to manage competing priorities, deadlines, and shifting business needs with professionalism
  • Strong client-service mindset and ability to support partners, managers, staff, candidates, and external contacts
  • Thrives in a fast-paced, high-pressure environment
  • Experience using MS Word and MS Outlook with a working knowledge of MS Excel, Adobe software applications, and Microsoft Teams
  • Time flexibility, specifically the ability and willingness to work before or after regular hours to meet occasional short-notice report deadlines and recruiting efforts; regular hours are 8:00 a.m. to 5:00 p.m. Mondays through Fridays
  • Accounting software experience a plus but not required (ProSystem Practice, ProSystem Tax, ProSystem Engagement, QuickBooks, Sage 50)
  • Experience in a Public Accounting or Law Firm environment is preferred but not a requirement
  • Experience attending career fairs or trade shows is a plus
  • German language skills are a plus

PAY RANGE IN MANHATTAN METROPOLITAN AREA:
Base Pay Range: $60,000 – $70,000/yr
