Position Summary
Role Responsibilities
Coordinate the full lifecycle of proposals and prequalification packages — from kickoff through submission — ensuring compliance, accuracy, quality and on-time delivery.
Collaborate closely with the Proposal Manager to align on pursuit strategy, requirements, deliverables and deadlines.
Gather, organize and synthesize technical and operational content from project managers, engineers and business leaders to develop cohesive, client-focused submissions.
Format, edit and proofread proposals, qualifications and presentations to ensure clarity, consistency and alignment with RK’s brand standards and messaging.
Maintain and update proposal templates, employee resumes and project summaries to ensure accuracy, consistency and readiness for pursuit opportunities.
Manage proposal schedules, track deliverables and proactively follow up with contributors to maintain momentum under tight deadlines.
Execute and coordinate customer-issued prequalification packages, ensuring all compliance requirements are met.
Research clients, markets, competitors and project opportunities to support strategic positioning and win strategies.
Perform data mining and reporting by independently gathering and producing information from internal systems (e.g., InforCRM, Viewpoint) and external resources.
Organize and maintain marketing content libraries, shared drives and archived pursuit materials to improve efficiency and institutional knowledge.
Coordinate with internal teams and external vendors to produce high-quality physical and digital deliverables.
Support client interviews and presentations by assisting with content development, slide preparation and production logistics.
Contribute to continuous improvement of proposal processes, tools, templates and workflows to enhance team efficiency and quality standards.
Grow professionally through mentorship from senior team members while progressively taking on increased responsibility in strategic pursuits.
Qualifications
Bachelor’s Degree in Marketing, Communications, Business Administration, Journalism or related field.
1–3 years of professional experience in marketing, proposals, communications, or related field; graphic design experience is a plus.
Exceptional attention to detail with the ability to apply a consistent, methodical approach to formatting and proofreading complex documents in accordance with brand standards and style guides.
Strong writing, editing and proofreading skills, with the ability to clearly organize and present detailed information.
Excellent organizational skills and the ability to manage multiple deadlines in a fast-paced, deadline-driven environment.
Analytical skills, including the ability to conduct secondary market research and create or utilize basic Excel spreadsheets to support proposal efforts.
Proficiency in Adobe InDesign and Acrobat required; working knowledge of Adobe Photoshop is a plus.
Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and experience working within SharePoint and shared drive environments.
Experience with CRM platforms such as InforCRM or similar marketing automation systems preferred.
Familiarity with construction industry terminology and proposal standards is a plus.
Flexible and adaptable, with the ability to respond effectively to shifting priorities and last-minute requests.
