Program Overview

RIVA Solutions’ Growth and Proposal Team supports the company’s strategic expansion across the federal civilian market by leading and executing high-quality proposal responses for complex IT, cybersecurity, cloud, and digital transformation opportunities. The Proposal Department plays a critical role in RIVA’s success by ensuring compliant, compelling, and competitive submissions across a wide range of contract vehicles and agencies.


Position Overview

RIVA Solutions is seeking a Proposal Coordinator to support full-lifecycle federal proposal development within our Proposal Department. This role provides hands-on coordination, production, and compliance support for responses to RFPs, RFQs, RFIs, Sources Sought Notices (SSNs), and related research activities.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced, deadline-driven environment. This role works closely with Proposal Managers, technical SMEs, capture teams, and external partners to support high-quality proposal submissions.


Core Responsibilities

  • Support Proposal Managers with full-lifecycle development of federal proposals, including RFPs, RFQs, RFIs, SSNs, and market research responses
  • Independently coordinate RFIs and smaller task order proposals, managing schedules, deliverables, and submissions end to end
  • Support proposal startup activities, including workspace setup (SharePoint, Slack), outlines, schedules, compliance matrices, and kickoff preparation
  • Schedule and coordinate proposal meetings (kickoffs, standups, reviews, and submission activities); document and distribute meeting notes with clear action items and deadlines
  • Track proposal tasks, assignments, and milestones across multiple concurrent efforts; proactively follow up with contributors and escalate risks as needed
  • Assemble proposal content using internal content libraries and collaborate with SMEs to translate technical input into clear, customer-focused narratives
  • Develop compliance matrices and perform compliance reviews across proposal volumes
  • Edit, format, and quality-check proposal documents using Microsoft Word and Adobe Acrobat to ensure clarity, consistency, and compliance
  • Coordinate graphic development and support basic graphic updates as needed using Adobe Illustrator
  • Perform copy-editing and content quality reviews of proposal volumes
  • Maintain proposal file structures and support upkeep of proposal content and graphics libraries
  • Communicate effectively with internal teams and external partners while maintaining professionalism under tight deadlines
  • Support proposal department operations and continuous process improvement initiatives

Minimum Qualifications

  • 2+ years of experience in a fast-paced federal proposal environment supporting RFPs, RFQs, RFIs, and related deliverables
  • Bachelor’s degree from an accredited university (English or related field preferred)
  • Strong proficiency with Microsoft Office, SharePoint, and Adobe Acrobat Professional
  • Experience using AI tools to support proposal development activities
  • Ability to manage multiple priorities under tight deadlines with high attention to detail
  • Strong written and verbal communication skills

Preferred Qualifications

  • APMP Foundation-level certification or Shipley training
  • Experience using Microsoft Copilot and developing Copilot agents to streamline proposal tasks
  • Beginner-level experience supporting graphics using Adobe Creative Suite
  • Experience with proposal writing or narrative development

Salary

$80,000 per year, based on experience
